3What this role really is

A warehouse team lead keeps a small team on track to get a specific job done, like picking the morning wave or putting away deliveries correctly. It means getting stuck in, leading by example, and making sure everyone knows their task.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

Manhattan WMS (Warehouse Management System) Intermediate

Executing daily transactions like receiving, putaway, picking, and shipping. You'll be able to look up inventory locations and order statuses.

SAP S/4HANA (ERP) Basic

Viewing purchase orders for inbound goods or sales orders for outbound shipments. You'll understand how this system feeds into the WMS.

Power BI / Tableau (Dashboards) Intermediate

Viewing and filtering pre-built dashboards to track your team's daily KPIs, like picking accuracy or UPH. You won't be building them, just using them.

UKG (Kronos) / Similar LMS Basic

Clocking in/out, approving your team's timecards, and viewing scheduled shifts for your small group of operatives.

Zebra RF Scanners & Vocollect Voice-Directed Headsets Expert

Using these devices for all your floor tasks like scanning items, confirming locations, and receiving voice instructions. You should also be able to do basic troubleshooting like rebooting.

MS Teams / Slack Intermediate

Communicating shift updates, safety alerts, and team messages. You'll use it for daily stand-ups and handovers with other team leads.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Task Prioritisation (within your team's scope) You'll follow the priority set by your Shift Supervisor. If two urgent tasks come up at once, you'll ask them which one to tackle first. N/A for this role, as this is an L1 role. Sets direction and approves major decisions.
Problem Solving (minor operational issues) For small, immediate problems (e.g., a scanner not working, a misplaced item), you'll try a basic fix (rebooting, finding the item) and then escalate to your supervisor if it's not resolved quickly. N/A for this role, as this is an L1 role. Sets direction and approves major decisions.
Safety & Compliance You must immediately report any safety hazards, incidents, or near-misses to your supervisor. You have the authority to stop work if you believe it's unsafe, then inform your supervisor. N/A for this role, as this is an L1 role. Sets direction and approves major decisions.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Order Picking Accuracy
The percentage of orders picked without any errors (wrong item, wrong quantity).
Target · Consistently > 99.8%

If your team picks 500 items and only one is wrong, that's 99.8% accuracy. We want to see that every day.

Units Per Hour (UPH)
How many units your team processes (picks, puts away, loads) per hour, compared to our expected standard.
Target · Meet or exceed 100% of engineered standard

If the standard is 100 units per hour for picking, your team should be hitting at least that, ideally a bit more.

Dock-to-Stock Time
The time it takes for an inbound delivery to be fully received, checked, and put away into its proper storage location.
Target · < 4 hours from trailer arrival

A trailer arrives at 8 AM, and all its contents are scanned and put away by 11:30 AM – that's 3.5 hours, which is great.

Safety Incident Rate
The number of minor incidents or near-misses reported by your team during a shift.
Target · Zero minor incidents or near-misses (and all reported)

If someone nearly drops a box, we want that reported, so we can learn from it and prevent a real accident.

Team Collaboration & Support
How well you guide and support your team, making sure they feel heard and have what they need to do their job.
  • Your team members feel comfortable asking you questions. You're seen as someone who helps unstick problems. You actively share information and help new starters get up to speed.
Adherence to Standard Operating Procedures (SOPs)
How consistently you and your team follow the established rules and processes for tasks like picking, packing, or receiving.
  • Your team consistently follows safety guidelines. You correctly use the WMS for every transaction. You can explain the 'right way' to do a task to a new starter without hesitation.
Proactive Problem Spotting
Your ability to notice small issues before they become big problems and bring them to your supervisor's attention.
  • You flag a scanner that's playing up before it stops working completely. You notice a recurring error in a process and ask your supervisor about it. You spot a potential safety hazard and report it immediately.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Seeing Tangible Results

You get a real kick out of seeing a fully loaded trailer leave on time, or a picking wave completed ahead of schedule. There's a satisfaction in knowing you and your team directly contributed to getting products to customers.

Finishing a busy shift knowing every single order for the day's cut-off was picked and packed, despite a few challenges.

Being Part of a Team

You enjoy working alongside others, helping them out, and feeling like you're all in it together. You like the camaraderie of a busy warehouse floor and the feeling of collective achievement.

Working with your team to quickly clear a backlog in receiving, everyone pulling together to get the job done.

Learning New Skills & Processes

You're keen to understand how things work, from the WMS to different types of MHE. You'll ask questions and actively try to improve your knowledge of warehouse operations.

Spending time with a more experienced operative to learn the best way to load a specific type of trailer, or asking your supervisor about a new WMS feature.

What frustrates people
  • The Blame Game: When an order is late, Sales might blame the warehouse, even if the real issue was a credit hold from Finance or a bad forecast. You're often the last link in the chain, so you can end up absorbing everyone else's mistakes.
  • The Constant Staffing Battle: High turnover is just a reality in warehouses. You'll spend time training new people, only for some to leave for a slightly better offer elsewhere. It can feel like you're always rebuilding.
  • "The System is Down": A WMS outage or Wi-Fi failure can bring a multi-million pound operation to a dead stop. You're pretty much powerless until IT fixes it, but the pressure to 'do something' is immense, and you'll have to find manual workarounds.
  • Peak Season Burnout: The 6-8 week period before Christmas or other big sales events is a proper marathon. Expect 12-hour days, 6 days a week. It's tough on equipment, tough on people, and can really strain your personal life.
  • The "Hot" Order: The urgent, last-minute order from a senior executive or a major client that requires you to drop everything, break standard processes, disrupt the workflow for 100 other orders, and personally walk it through the system. It's a pain, but it happens.
What this role does not give you
  • A quiet, predictable office environment. This is a busy, often noisy, physical job.
  • Complete autonomy over your schedule or tasks. You'll be following a plan set by your supervisor.
  • An escape from physical work. You'll be on your feet, lifting, and moving things most of the day.

8Who you work with

Your role is crucial for hitting daily operational targets. You're the one making sure individual tasks—like picking 100 orders or unloading a specific trailer—are completed correctly and on time. Get it right, and the whole shift runs smoother; get it wrong, and it creates bottlenecks for everyone else.

Inside the business
  • Warehouse Shift Supervisor (your direct boss, who you'll check in with daily)
  • Other Team Leads (you'll work closely with them on handovers and shared tasks)
  • Warehouse Operatives (the team you're guiding and supporting)
  • Maintenance Team (when equipment needs a quick fix)
  • HR (for basic queries about your team's shifts or wellbeing)
Outside the business
  • Delivery Drivers (you'll coordinate with them for inbound/outbound activities)

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • A solid understanding of basic maths (addition, subtraction, multiplication, division) for counting inventory and checking quantities.
  • Good literacy skills to read and understand instructions, labels, and safety signs.
  • The ability to stand, walk, lift (up to 20kg), and perform repetitive tasks for extended periods.
  • A genuine willingness to learn and follow established processes and procedures.
  • Previous experience (0-2 years) in a warehouse, manufacturing, or similar physical operational environment is really helpful, but we'll consider keen learners too.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced WMS Navigation & Troubleshooting

WMS systems are constantly updated with new features to improve efficiency. You'll need to get comfortable with these new functions and be able to troubleshoot minor issues more independently.

New Module Familiarity · Error Code Interpretation · System Feedback Loops

  • This week: When you see a new WMS screen or message, ask your supervisor what it means.
  • This month: Try to learn one new WMS function or shortcut each week.
  • Month 2: Offer to help new starters with common WMS questions, solidifying your own knowledge.
  • Month 3: Take part in any internal WMS training sessions, even if they're for a higher level role.

Quick win: Before calling your supervisor, try to figure out a WMS error message yourself by looking it up in our internal knowledge base or simply trying a logical next step.

11Staying current once you are in

What people here do to keep up
  • Shadowing experienced Team Leads or Shift Supervisors to see how they handle different situations and manage their teams.
  • Taking advantage of any in-house training programmes on WMS updates, new MHE, or safety refreshers.
  • Actively seeking feedback from your supervisor on your performance and areas for improvement.
  • Reading industry articles or trade magazines (even just a quick browse) to stay aware of what's happening in the wider logistics world.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Warehouse Team Lead is actually changing.

Where it leads next, rung by rung

Where it leads

The career path, and where it branches

Warehouse Team Lead is a start, not a ceiling. Each step below asks for new skills and hands back more autonomy.

  1. Warehouse Shift Supervisor (L2)

    2-3 years (after Team Lead)

You'll move from guiding a small team on a task to managing an entire functional area (like Receiving or Picking) for a whole shift. This means more responsibility for shift-level KPIs, safety, and managing a larger group of operatives.

    • Advanced WMS Configuration Understanding how to adjust picking paths or putaway rules.
    • Labor Management System (LMS) Use Creating schedules, tracking individual performance against standards.
    • Root Cause Analysis Using tools like '5 Whys' to get to the bottom of recurring problems.
    • Inbound/Outbound Logistics Coordination Managing carrier relationships and scheduling.
Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, the warehouse floor is busy. You're always on the go, and finding time for all the small admin tasks or learning about new tech can feel impossible. Good news: AI isn't just for the tech wizards. It's here to make your day-to-day work a bit easier, helping you save time and get more done.

We're starting to use AI-powered tools to take some of the grunt work out of operations. For you, as a Team Lead, this means less time wrestling with paperwork and more time focusing on what really matters: your team and getting products out the door. Think of it as having a really smart assistant that helps with the boring bits, freeing you up to lead.

Automated Reporting & Admin

Imagine not having to manually type out parts of the daily 'End of Shift' report. AI/RPA bots can pull data from our WMS and other systems, generating draft reports for your supervisor. You'll just need to check them over, saving you valuable time at the end of a long shift.

Smarter Staffing Insights

While you won't be building the models, you'll benefit from AI that analyses historical order volumes, upcoming promotions, and even things like weather to give your supervisor much more accurate labour forecasts. This means better staffing plans, so you're less likely to be understaffed during a rush or overstaffed when it's quiet.

Quick Tech Summaries

Ever wonder what new warehouse tech is out there? Your supervisor might use AI assistants to quickly research and summarise new solutions like Autonomous Mobile Robots (AMRs). You'll then get to read these easy-to-digest summaries, helping you understand new tools that might come to our warehouse.

Draft Safety Briefings & SOPs

Need to give a quick safety briefing? AI can help draft talking points based on recent near-miss reports or new guidelines. Or, if you're helping update a Standard Operating Procedure (SOP), AI can take your bullet points and turn them into a clear, concise draft, making documentation less of a chore.
