2AI and this work

Will AI change your work as a Workplace Analyst?

Nobody can say exactly how. Here is what this job is being asked for next, and where to start.

  • Data Storytelling (Basic)
Why each one is rising

The future skills this job leans on

We'll only ever tell you what we can actually back up. No hype, no scare tactics.

3What this role really is

A Workplace Analyst collects and makes sense of data on how offices are used, from space and costs to employee feedback.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

You'll be using Excel daily to clean raw data, apply basic formulas (SUM, AVERAGE, COUNTIF), sort and filter data, and create simple charts for reports.

Serraview / iOFFICE / Archibus (IWMS) Intermediate

You'll be updating floor plans, managing move/add/change requests, running pre-built utilisation reports, and ensuring the data in the system is clean and accurate for your assigned sites.

Tableau / Power BI (Viewer/Basic User) Intermediate

You'll connect to standard data sources, use existing dashboard templates, and manipulate filters and views to extract specific information for the team.

You'll participate in virtual workshops, add notes, and organise content on Miro boards during brainstorming sessions or project planning.

Microsoft Office Suite (Word, PowerPoint, Outlook) Intermediate

You'll be drafting emails, creating simple presentations, and documenting processes. Good command of these is a given.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Data Collection Methodology Propose methods to your manager; execute approved plans under supervision. Select appropriate methods for routine projects; consult manager on novel approaches. Design and refine methodologies for complex projects; make recommendations to leadership.
IWMS Updates (Floor Plans, Desk Assignments) Execute updates based on approved requests; all changes reviewed. Manage routine updates independently; escalate complex changes. Define and audit IWMS data governance standards.
Report Content & Format Generate reports using existing templates; minor customisation with manager approval. Design new reports and dashboards for specific project needs. Define reporting standards and key metrics for the function.
Budget Allocation (e.g., for software licences) No authority; flag potential costs to manager. Recommend expenditure for project-specific tools (up to £1K); manager approval required. Approve project budgets up to £5K; recommend larger investments.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

IWMS Data Accuracy
The percentage of space utilisation and floor plan data in our Integrated Workplace Management System (IWMS) that is correct and up-to-date.
Target · 98%+

If we audit 100 data points (e.g., desk assignments, room capacities), you should have fewer than 2 errors. This means making sure floor plans match reality and reported utilisation figures are sound.

Reporting Turnaround Time
How quickly you can produce standard weekly or monthly utilisation reports once the raw data is available.
Target · Within 4 hours for weekly reports, 24 hours for monthly

A request for the weekly utilisation report comes in at 9 AM on Monday; it should be delivered by 1 PM the same day, ready for the team meeting.

Survey Response Rate Support
The average response rate achieved on employee surveys you help to distribute and track.
Target · 75%+

If you help launch a survey to 500 employees, we'd expect at least 375 responses. This often means sending reminders and tracking participation.

Data Validation Error Rate
The number of errors or inconsistencies found in the raw data you've prepared for analysis, before it's passed to a Workplace Strategist.
Target · Less than 1 error per 1,000 data points

You're pulling badge swipe data for a quarter (say, 50,000 entries). We'd expect you to catch almost all the duplicates, missing entries, or obviously incorrect timestamps, aiming for fewer than 50 errors in total.

Proactive Data Quality Checks
How often you spot potential data issues or inconsistencies before being asked, and bring them to the team's attention.
  • You'll be flagging discrepancies in headcount vs. seat count data without prompting. You might notice a sudden drop in sensor data from a particular floor and investigate it. Your manager will mention you've 'got a good eye for the numbers'.
Team Collaboration & Support
How effectively you work with and support the Workplace Strategy team, making their jobs easier.
  • Strategists will say you're a reliable pair of hands, always ready to help. You'll be seen as approachable and responsive when they have data questions. You'll contribute constructively in team meetings, even if it's just asking a clarifying question about a data request.
Learning & Development Initiative
Your willingness and effort to learn new tools, methodologies, and industry knowledge relevant to workplace strategy.
  • You'll be asking thoughtful questions about 'why' we do things a certain way. You might proactively complete online training modules on a new software or read industry articles. You'll seek feedback on your work and actively apply it.
Documentation Clarity & Completeness
How well you maintain and update documentation for data processes, report generation, and system usage.
  • Another team member could pick up your documentation and understand how to run a report or update a floor plan without needing to ask you. Your process notes will be clear, concise, and easy to follow, making future tasks smoother.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Solving Puzzles with Data

You'll feel a sense of satisfaction when you finally track down why a particular office floor's utilisation numbers look odd, or when you successfully clean a messy dataset into something usable. It's like being a detective, but with spreadsheets.

Spending an afternoon cross-referencing badge data with meeting room bookings to figure out why a 'busy' floor actually has low desk utilisation.

Contributing to Tangible Outcomes

While you won't be designing the new office yourself, you'll know that the accurate data you provided was a critical piece of the puzzle. You'll see your work translated into real-world changes, like a new flexible working policy or a more efficient office layout.

Seeing a new 'collaboration zone' being built, knowing that your analysis of meeting room demand helped justify its creation.

Continuous Learning & Skill Building

You'll be excited by the opportunity to master new software, learn advanced Excel techniques, or understand the nuances of real estate metrics. Every day offers a chance to add a new skill to your toolkit.

Taking the initiative to learn Power Query in Excel to automate a repetitive data cleaning task, even if it wasn't explicitly assigned.

What frustrates people
  • Dealing with inconsistent data from different sources (e.g., HR headcount vs. IWMS seat assignments).
  • Systems that don't talk to each other, requiring manual data transfers.
  • The 'urgent' request that gets deprioritised a day later, making your rushed effort feel a bit pointless.
  • Stakeholders not understanding the time it takes to pull accurate data, expecting instant answers.
  • Repetitive tasks like updating floor plans or basic data entry in the IWMS.
What this role does not give you
  • High-level strategic decision-making (that's for more senior roles).
  • Direct management of people or large budgets.
  • A fast-track to glamorous, client-facing project leadership.
  • A role where you're constantly innovating with new technologies (you'll be using established tools).

8Who you work with

This role underpins the entire workplace strategy function. Without accurate, timely data, our strategic decisions would be guesses. Your work ensures we have a factual basis for optimising our real estate portfolio, improving employee experience, and managing costs across the organisation. Get it right, and we save money and make people happier. Get it wrong, and we could be making multi-million-pound mistakes.

Inside the business
  • Workplace Strategists (L2-L3)
  • Facilities Operations Team
  • HR Business Partners (for headcount data)
  • IT Support (for system access issues)
Outside the business
  • IWMS Software Vendors (for basic support queries)
  • Survey Tool Providers

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • A genuine interest in how physical spaces impact people's work and well-being.
  • A knack for numbers and an enjoyment of working with data, even when it's messy.
  • The ability to learn new software applications quickly and independently.
  • Strong organisational skills; you can manage your own tasks and keep track of multiple data sources.
  • Excellent written and verbal communication skills in English.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced Excel (Power Query & Data Models)

As data sources become more complex, manual cleaning and linking in Excel becomes a nightmare. Power Query lets you automate data import and transformation, saving hours. Data Models allow for more robust analysis than simple VLOOKUPs.

Extract, Transform, Load (ETL) · M Language (Power Query) · Relational Data Models · DAX (Data Analysis Expressions)

  • This week: Watch a 30-minute introductory video on Power Query in Excel.
  • This month: Try to use Power Query to import and clean one of your regular datasets instead of doing it manually.
  • Month 2: Experiment with building a simple data model in Excel, linking two related tables.
  • Month 3: Look for an online course or tutorial specifically on Power Query and Power Pivot.

Quick win: Next time you import data from a CSV, try using 'Data > Get Data > From Text/CSV' in Excel to see the Power Query editor in action.

Basic Python or R for Data Analysis

While Excel is great, for larger datasets or more complex statistical analysis, scripting languages like Python or R are becoming the standard. This opens doors to more sophisticated insights and automation.

Variables & Data Types · DataFrames (Pandas in Python) · Basic Data Cleaning & Manipulation · Simple Visualisation Libraries

  • This month: Try a free online 'Intro to Python for Data Science' course (e.g., Codecademy, DataCamp).
  • Month 2: Experiment with using Python (or R) to load and summarise one of your smaller datasets.
  • Month 3: Look for simple coding challenges related to data cleaning online.
  • Month 4: Ask a senior analyst if they can show you a basic Python script they use for data tasks.

Quick win: Install Python (or R) and a basic IDE (like VS Code or RStudio) on your personal machine and run your first 'Hello World!' script.

11Staying current once you are in

What people here do to keep up
  • Attend industry webinars or online talks on workplace trends, even if they seem advanced. Just absorb the language and concepts.
  • Join relevant professional groups on LinkedIn (e.g., IWFM, CoreNet Global) to see what people are discussing.
  • Take online courses on advanced Excel (Power Query, Power Pivot) or data visualisation tools (Tableau, Power BI).
  • Read industry publications like 'Workplace Insight' or 'Facilities Management Journal' to stay current.
  • Seek out opportunities to shadow senior strategists or facilities managers to understand their challenges.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Workplace Analyst is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of the data work in workplace strategy can be repetitive. But what if you could offload some of that grunt work to AI? We're not talking about replacing you; we're talking about making your job smarter, faster, and frankly, more interesting. Imagine spending less time cleaning data and more time actually understanding what it means.

In this role, AI isn't just a buzzword; it's a practical assistant. You'll be using AI-powered tools to automate the tedious parts of data preparation, report generation, and even some of the initial analysis. This means you can focus on the higher-value tasks, like spotting critical trends or questioning assumptions, right from day one.

Automated Data Cleaning & Validation

Feed your messy utilisation data into an AI tool. It'll spot duplicates, fill in missing values, and flag inconsistencies far quicker than you ever could manually. Think of it as your personal data scrubbing assistant, freeing you from hours of spreadsheet drudgery.

Smart Report Generation

Instead of manually pulling numbers into a template, use AI to generate initial drafts of your weekly or monthly utilisation reports. You can prompt it to highlight key trends or anomalies, giving you a head start on your analysis.

Quick Research & Summary

Need to understand the latest trends in hybrid work or neuro-inclusive design? Use an AI research assistant to quickly summarise articles, industry reports, or even internal documents. It's like having a super-fast librarian at your fingertips.

Drafting Communications

When you need to send out a survey reminder or draft a quick update on data collection, AI can help you craft clear, concise messages. It's great for getting that first draft down, letting you focus on the specifics.
