3What this role really is

A procurement coordinator handles the day-to-day admin and data behind supplier relationships. This is a foundational role. It involves keeping vendor records straight, tracking orders, and making sure supplier information stays current. It is where most people start in procurement, and it builds the groundwork for roles that come later.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

You'll use Excel for basic data entry, simple sorting and filtering, and creating basic tables or charts for reports. Knowing how to use VLOOKUP or SUMIF would be a bonus.

Source-to-Pay (S2P) Suite (e.g., Coupa, SAP Ariba) Intermediate

You'll be creating requisitions, processing purchase orders, and managing basic supplier profiles within our chosen S2P system. We'll train you, but comfort with similar enterprise software helps.

Contract Lifecycle Management (CLM) System (e.g., Icertis, DocuSign CLM) Basic

You'll upload executed contracts, track key dates, and search for specific documents within our CLM system. It's mostly about accurate data entry and retrieval.

Collaboration & Project Management Tools (e.g., MS Teams, Jira, Asana) Basic

You'll use these for team communication, updating your tasks, and finding shared documents. It's about being able to navigate these tools to stay connected and organised.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Purchase Order Approval No authority. You'll prepare POs for approval by a Vendor Manager or budget holder. May approve routine, low-value POs (e.g., up to £1K) within a specific category, following strict guidelines. Approves POs up to £5K-£10K, depending on category and delegated authority.
Vendor Onboarding Executes the administrative steps for onboarding, but the decision to onboard a new vendor is made by a Vendor Manager. Can initiate onboarding for pre-approved vendors or those within their managed portfolio, following set criteria. Decides on the onboarding of new vendors for strategic categories, often requiring risk assessment sign-off.
Contract Renewal Tracks and flags upcoming contract renewal dates to the relevant Vendor Manager. Recommends whether to renew or terminate non-strategic contracts, based on performance and market analysis. Leads the decision-making process for strategic contract renewals, including negotiation strategy.
Process Improvement Identifies minor inefficiencies in your own tasks and suggests them to your manager. Proposes and implements small process improvements within your area of responsibility. Designs and implements significant process improvements across a workstream or category.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Purchase Order Accuracy
How many purchase orders you create or process without errors.
Target · Greater than 99% accuracy on all POs.

If you process 100 POs in a month, we'd expect no more than one to have a mistake, like a wrong quantity or supplier name.

Report Timeliness
How quickly you deliver standard spend reports when asked.
Target · All standard reports delivered within 24 hours of request.

A Vendor Manager asks for a list of all IT spend for Q1 on Monday morning; you'll have it ready by Tuesday morning at the latest.

Vendor Onboarding Cycle Time
The time it takes you to complete the administrative steps for setting up a new vendor in our system.
Target · New vendor setups completed in less than 48 hours (after receiving all necessary info).

If a new supplier's details are submitted on a Tuesday, they should be fully set up in our system by Thursday, ready for a PO.

Contract Tracking Accuracy
Making sure key dates for contracts (renewals, expirations) are correctly logged and flagged.
Target · Zero missed critical contract dates due to tracking errors.

You'll flag a contract due for renewal in 90 days, giving the Vendor Manager plenty of time to act. Missing this could mean we automatically renew on bad terms.

Process Adherence
How well you follow our established procurement processes and guidelines.
  • Your work consistently follows documented procedures. You ask clarifying questions when unsure, rather than making assumptions. Your manager doesn't need to correct your process steps often. You're seen as someone who 'gets it right' by following the rules.
Learning & Development
Your proactive approach to learning about procurement, our systems, and our business.
  • You ask thoughtful questions during training and daily tasks. You take notes and refer back to them. You actively seek feedback and apply it. You show curiosity about why we do things a certain way, not just how. You complete assigned online learning modules on time.
Team Collaboration & Support
How effectively you work with and support your immediate team members.
  • You respond quickly to requests from your manager or colleagues. You offer help when your workload allows. You share relevant information with the team. You're a pleasant person to work with, contributing positively to the team's atmosphere. You don't hoard information
  • you share what you learn.
Data Quality Contribution
Your commitment to ensuring the data you handle is clean, accurate, and useful.
  • You spot and correct minor data inconsistencies. You flag recurring data issues to your manager. You understand why data quality matters for reporting and decision-making. You're careful with data entry, knowing that 'rubbish in' means 'rubbish out'.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Learning & Development

You'll be asking questions, taking notes, and actively seeking to understand how our procurement processes work. Every new task will feel like a mini-lesson in how a business operates.

You'll spend time looking through our contract database, not just to find a document, but to understand the different types of agreements we have and why they matter.

Contributing to Team Success

You'll get satisfaction from knowing that your accurate data entry and timely processing directly enable your colleagues to do their more strategic work. You're a vital cog in the machine.

When a Vendor Manager thanks you for getting a critical PO processed quickly, allowing them to close a deal, you'll feel genuinely proud of your contribution.

Structure & Process

You'll enjoy the clarity of having defined processes to follow for most tasks. There's a right way to do things, and you'll find satisfaction in mastering those steps.

You'll appreciate having a clear checklist for onboarding new suppliers, ensuring every step is covered and nothing is missed.

What frustrates people
  • Dealing with internal teams who don't follow the process, meaning you have to chase them for information.
  • Waiting for external suppliers to provide information, which can hold up your tasks.
  • Repetitive data entry that feels a bit like Groundhog Day.
  • Being the 'process police' and having to gently remind people to follow the rules.
  • The feeling that your work isn't always 'seen' or appreciated, even though it's crucial.
What this role does not give you
  • High-level strategic decision-making or autonomy over major projects (not yet, anyway).
  • Direct management of a team or significant budget responsibility.
  • Constant variety or creative problem-solving on a daily basis.
  • Immediate, visible impact on the company's P&L (your impact is indirect but vital).

8Who you work with

Your work directly supports the efficiency of our procurement operations. Accurate data and timely processing mean our internal teams can get on with their jobs without delays, and we keep good relationships with our suppliers. Mess it up, and things grind to a halt pretty quickly, costing us time and money.

Inside the business
  • Your immediate Procurement team (Vendor Managers, Category Managers)
  • Finance (for invoice processing and budget queries)
  • Internal business units (who raise requisitions for goods and services)
  • Legal team (for basic contract queries)
Outside the business
  • Our everyday suppliers (for basic information requests, order follow-ups)
  • Vendor support teams (for system issues or account queries)

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • Proficiency in standard office software (Microsoft Office Suite, especially Excel and Outlook).
  • Excellent written and verbal communication skills in English.
  • A strong work ethic and a genuine desire to learn about procurement.
  • The ability to follow instructions accurately and consistently.
  • A methodical approach to tasks and good organisational habits.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced S2P System Configuration

Once you know how to use our S2P system, the next step is understanding how it's set up. This means knowing how workflows are configured, how supplier categories are defined, and how basic reporting parameters are controlled. It's about moving beyond just 'clicking buttons' to understanding the system's logic.

Workflow Logic · Master Data Structures · Basic Reporting Parameters

  • This month: Ask your manager to show you the 'admin' side of our S2P system, even if you just observe.
  • Next month: Try to understand how a specific approval workflow is set up in the system.
  • Month 3: Practice creating custom reports with different filters and fields (in a test environment if possible).
  • Month 4: Document a common S2P system issue and how you'd troubleshoot it using your new admin knowledge.

Quick win: Spend 15 minutes each week exploring different menus and settings in our S2P system. Just poke around and see what's there – you'll be surprised what you find.

Intermediate Data Visualisation (e.g., Power BI, Tableau)

While you start with Excel, being able to create clearer, more interactive visualisations of data is becoming essential. It helps everyone understand the numbers faster. You'll move from basic charts to dashboards that tell a story.

Data Storytelling · Dashboard Design Principles · Connecting Data Sources

  • This month: Complete a free online introductory course for Power BI or Tableau.
  • Next month: Recreate one of your existing Excel reports as a simple dashboard in Power BI/Tableau.
  • Month 3: Experiment with different chart types to see which best represents specific data points.
  • Month 4: Present a simple dashboard to your manager and ask for feedback on clarity and usefulness.

Quick win: Download the free desktop version of Power BI or Tableau Public and try to connect it to a simple Excel spreadsheet. Just getting it to work is a win!

11Staying current once you are in

What people here do to keep up
  • Enrolling in introductory online courses on procurement or supply chain management (e.g., Coursera, LinkedIn Learning).
  • Attending industry webinars or virtual events to learn about current trends (we'll share these with you).
  • Reading relevant industry publications or blogs to stay informed.
  • Seeking out mentorship opportunities within the team to learn from more experienced colleagues.
  • Actively participating in internal training sessions on our systems and processes.

The ten Future Fluencies

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Procurement Coordinator is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of procurement work involves sifting through data, drafting standard emails, and making sure everything's in the right place. Imagine if you had a smart assistant to help with all that. That's where AI comes in. We're not talking about robots taking over, but rather smart tools that can take the grunt work off your plate, freeing you up to learn more and grow faster.

Even at an entry level, you'll find AI can seriously boost your productivity. Think about the time you spend on repetitive data checks or basic information gathering. AI can handle a surprising amount of that, letting you focus on understanding the 'why' behind the tasks, rather than just the 'how'. It's about working smarter, not harder, right from day one.

Contract Clause Spotter

Imagine you're reviewing a new vendor's terms. Instead of manually scanning every line, AI can quickly highlight unusual clauses or potential red flags that deviate from our standard agreements. You'll still need to understand them, but the AI does the heavy lifting of finding them. This means you can learn what to look for much faster.

Spend Data Cleaner

You know how messy data can be? AI tools can automatically spot duplicate entries, inconsistent vendor names, or miscategorised spend. This means less time scrubbing data in Excel and more time creating the actual reports your manager needs. It's like having a super-fast data detective on your side.

Basic Vendor Researcher

Need to quickly find out who the top three suppliers are for a specific service, or get a summary of a vendor's recent news? AI can trawl the web and summarise key information for you in minutes, saving you hours of manual searching. Great for preparing for those initial supplier calls.

Email Drafter & Summariser

You'll be sending a lot of standard emails – chasing information, confirming details, or following up on POs. AI can draft these for you, ensuring consistent tone and accuracy. It can also summarise long email chains or meeting notes, so you can quickly get up to speed without reading every single word.
