3What this role really is

This job means owning a set of smaller spend categories and making sure they run well. It covers digging into data, talking to suppliers, and working with internal teams to understand what they need. The work is hands on, focused on getting good value and keeping supplier relationships solid.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

P2P/S2P Suite (e.g., Coupa, SAP Ariba) Basic

Creating requisitions, running basic reports, tracking purchase orders (POs), pulling contract data, and understanding the workflow from a user's perspective.

ERP System (e.g., SAP S/4HANA, Oracle Fusion) Basic

Looking up vendor master data, checking payment statuses, and pulling basic spend reports from specific General Ledger (GL) codes.

Spend Analytics (e.g., Sievo, Suplari, SpendHQ) Intermediate

Navigating pre-built dashboards, applying filters, exporting cleansed data for analysis in Excel, and identifying basic savings opportunities within your categories.

Supplier Risk & Performance (e.g., EcoVadis, Dun & Bradstreet) Basic

Pulling a supplier's risk report or sustainability scorecard and entering basic supplier performance data into the system based on stakeholder feedback.

Contract Lifecycle Management (CLM) (e.g., Icertis, Agiloft) Basic

Uploading executed contracts, searching for specific clauses, and tracking key dates like renewals and expirations.

Executive Visualization (e.g., Tableau, Power BI) Intermediate

Manipulating data in Excel (using Power Query, for example) to feed into pre-built Tableau or Power BI dashboards. You'll understand the key procurement KPIs and how to interpret them.

Financial Planning (e.g., Anaplan, Workday Adaptive Planning) Awareness

Understanding where your category's budget sits within the corporate financial plan and how your savings impact it. You won't be building models here, but you'll know where to look.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Supplier Selection (Routine) Recommends options to Senior Category Officer for approval. Selects suppliers for low-value, non-strategic purchases (typically under £10K) from pre-approved lists. Recommends for higher value. Approves supplier selection for significant categories (up to £100K) based on strategy. Consults Director on strategic supplier choices.
Negotiation Strategy Supports with data and attends negotiations as an observer. Develops initial negotiation strategy for assigned categories, reviewed by Senior Category Manager. Leads discussions for smaller deals. Designs and leads complex negotiations for strategic categories. Approves negotiation mandates for their team.
Category Strategy Development Collects data and inputs for category profiles. Develops and executes category strategies for specific sub-categories, with review and guidance from Senior Category Manager. Owns and refines multi-year category strategies for significant spend areas. Presents to Director-level stakeholders.
Contract Terms Approval Reviews contract drafts for accuracy against agreed terms. Reviews and suggests amendments to standard contract terms. Requires Legal and Senior Category Manager approval for any deviations or new contracts. Approves standard contract terms for their categories. Works with Legal on bespoke clauses and major amendments.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Category Cost Savings Realisation
The actual, validated reduction in spend for your assigned categories against agreed baselines.
Target · Achieve £50K - £250K in P&L-validated savings annually, depending on category scope.

Negotiating a new software licence deal that saves us £75,000 against the previous year's spend, which Finance then signs off on as a 'hard saving'.

Sourcing Project Cycle Time
How quickly you can move a sourcing project (like an RFP) from initiation to contract signing.
Target · Complete 80% of sourcing projects within 60 days.

Taking a new marketing agency RFP from the initial brief to a signed contract in 55 days, beating the 60-day target.

Supplier Performance Improvement
Helping to improve key performance indicators (KPIs) for suppliers in your categories (e.g., on-time delivery, quality scores).
Target · Improve average supplier performance scores by 5-10% for your top 3 suppliers.

Working with a logistics supplier to reduce their average delivery delay from 3 days to 1 day, as reported by Operations.

Spend Under Management (SUM) Accuracy
Ensuring that the spend data for your categories is correctly classified and accounted for in our systems.
Target · Maintain 95%+ accuracy for spend classification in your assigned categories.

Running a report that shows less than 5% of transactions in your 'Cloud Services' category are misclassified or uncategorised.

Stakeholder Engagement & Satisfaction
How well you build relationships and communicate with your internal business partners, ensuring they feel heard and supported.
  • You're proactively consulted on new requirements for your categories. Business partners provide positive feedback to your manager. You get invited to their team meetings, not just when they need something. They actually want to work with you.
Problem Identification & Solution Proposing
Not just spotting issues, but coming to the table with potential ways to fix them, even if it's just a first draft.
  • When you flag a problem (e.g., a supplier isn't performing), you also suggest 2-3 possible next steps. You're seen as someone who helps find answers, not just points out what's broken. Your manager trusts you to think through challenges.
Process Adherence & Improvement Suggestions
Following our established procurement processes, but also thinking about how we can make them better.
  • You consistently follow the 7-step sourcing process, but also bring forward ideas for small tweaks that could make things smoother or more efficient. You're not just a robot
  • you're thinking critically about the 'how'.
Data Quality & Analysis
The accuracy and insightfulness of your spend analysis, supplier market research, and other data-driven work.
  • Your spend reports are clean and reliable. You can clearly explain the 'story' behind the numbers. Your market research provides genuinely useful insights that inform our strategy, not just a dump of information.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Making a Tangible Financial Impact

You get a real buzz from seeing your negotiated savings hit the P&L. You enjoy the challenge of finding efficiencies and knowing your work directly contributes to the company's financial success.

Successfully renegotiating a software licence, saving £50K, and seeing that reflected in the next quarter's budget report.

Solving Complex Puzzles

You love diving into messy spend data, untangling complicated supplier relationships, or figuring out the best sourcing strategy for a tricky category. It's like a continuous series of puzzles to solve.

Taking a fragmented 'tail spend' category with hundreds of suppliers and figuring out how to consolidate it down to a handful of preferred vendors.

Learning & Growing

You're always keen to pick up new skills, whether it's a new negotiation technique, a deeper understanding of a market, or how to use a new analytics tool. You see every project as a learning opportunity.

Taking the initiative to learn a new feature in our spend analytics platform to uncover insights you hadn't seen before.

What frustrates people
  • The 'Savings Evaporation' Act: You negotiate a £200K savings deal, but the business unit's budget isn't actually reduced, so the money gets spent elsewhere, and the CFO never sees the P&L impact.
  • Garbage In, Garbage Out: Your spend analytics platform is only as good as the underlying data. You spend 50% of your time just cleansing and classifying spend data from the ERP before you can even start the analysis.
  • The Post-Mortem Contract: A business unit leader signs a multi-million pound contract and then sends it to you 'for your records,' completely bypassing the negotiation process.
  • Explaining TCO to a Brick Wall: Trying to convince a stakeholder to choose a supplier that costs 10% more upfront but will save 30% over three years, when their bonus is tied to this year's budget only.
What this role does not give you
  • A perfectly predictable, routine workday – expect curveballs.
  • Complete autonomy over every decision – you'll need to collaborate and get buy-in.
  • Instant gratification – some projects take months to bear fruit.
  • A quiet, solitary work environment – you'll be interacting with lots of people.

8Who you work with

Your work directly contributes to our financial health by optimising spend in your categories. You'll help us reduce 'maverick spend' (people buying stuff without going through the proper channels, which is a pain!) and ensure we're getting maximum value from our supplier relationships. Essentially, you're helping us get more bang for our buck, which frees up cash for other important business initiatives.

Inside the business
  • Business Unit Leads (e.g., Marketing, IT, Operations) – they're your internal clients, and you'll need to understand their needs.
  • Finance Team – they'll be watching the budget and the savings you deliver.
  • Legal Team – they help us make sure our contracts are watertight.
  • Product & Engineering – especially for IT-related categories, you'll work closely with them to understand technical requirements.
Outside the business
  • Key Suppliers – you'll be their main point of contact for your categories.
  • Account Managers (from supplier side) – building good relationships here is crucial for smooth operations.
  • Industry Peers – sometimes you'll connect with others in the industry to benchmark best practices (though less frequently at this level).

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • Proven ability to analyse data in Excel (pivot tables, VLOOKUPs, basic formulas) to draw conclusions.
  • Experience supporting or running smaller RFI/RFP processes, including drafting documents and managing supplier responses.
  • Some experience interacting with suppliers, either in a procurement, sales, or account management capacity.
  • A track record of identifying problems and proposing practical solutions, even if they're not fully formed.
  • Ability to manage multiple tasks and deadlines, demonstrating good organisational skills.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced Spend Analytics & Data Modelling

As we collect more data, the ability to perform complex analysis, build predictive models, and extract non-obvious insights will become crucial. This moves beyond just filtering dashboards to building your own analytical frameworks.

SQL for data extraction · Statistical analysis in Excel/Python · Predictive modelling basics · Data quality management

  • This month: Explore advanced features in Power Query or similar data transformation tools.
  • Next 3 months: Start learning basic SQL (there are loads of free online courses).
  • Next 6 months: Try to build a small 'should-cost' model in Excel that incorporates multiple variables.
  • Next 12 months: Look for opportunities to apply basic statistical analysis to a sourcing project (e.g., A/B testing supplier proposals).

Quick win: Spend an hour each week exploring a new feature in our spend analytics platform that you haven't used before. You'd be surprised what you find.

Digital Procurement Tool Optimisation

We're investing heavily in tools like Coupa, SAP Ariba, and Icertis. Knowing how to use them is one thing, but understanding how to optimise their configuration, workflows, and reporting capabilities will be a game-changer for efficiency and compliance.

Workflow configuration · Reporting customisation · Integration points · User adoption strategies

  • This month: Take a deeper dive into the admin settings of our P2P system (if you have access, or ask your manager for a demo).
  • Next 3 months: Identify one workflow in a procurement tool that could be improved and map out how.
  • Next 6 months: Work with the system administrator to build one custom report you need for your categories.
  • Next 12 months: Help onboard a new user to one of our procurement systems, focusing on best practices.

Quick win: If you spot a bug or an inefficient process in one of our tools, document it and suggest a fix to your manager. You're helping everyone.

11Staying current once you are in

What people here do to keep up
  • Attending industry webinars and conferences (even virtual ones!) to stay current on market trends and best practices.
  • Joining professional networking groups (like CIPS local branches or LinkedIn groups) to connect with peers and learn from others' experiences.
  • Taking online courses in areas like advanced Excel, data visualisation (e.g., Tableau, Power BI), or basic SQL to enhance your analytical toolkit.
  • Reading key procurement publications and thought leadership pieces to broaden your understanding of the industry.
  • Seeking out opportunities to mentor junior colleagues or new starters – it's a great way to solidify your own knowledge.

Data Storytelling & Visualisation

It's not enough to just have great data; you need to be able to tell a compelling story with it. Our stakeholders are busy, and they need to grasp complex insights quickly. The ability to simplify and visualise data effectively will make your recommendations far more impactful.

  • Audience-centric communication
  • Narrative structure for data
  • Effective chart selection
  • Dashboard design principles

ESG (Environmental, Social, Governance) Sourcing

Customers, investors, and regulators are increasingly demanding that companies operate ethically and sustainably. This means procurement needs to ensure our supply chain reflects those values. You'll need to understand how to assess suppliers on their environmental impact, labour practices, and governance standards.

  • Supplier Code of Conduct
  • Carbon footprint in supply chain
  • Modern slavery & human rights
  • Diversity & inclusion in supply base

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Chief Category Officer is actually changing.

    • Vendor Management for IT Projects Managing complex software implementation partners.
    • Stakeholder Alignment Getting multiple business units on the same page for a project.
Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of procurement work can be a bit… manual. But here's the thing: AI is changing that fast. It's not about replacing you; it's about making your job less tedious and more strategic.

Imagine spending less time on data entry, classification, and basic research, and more time on actual strategy, negotiation, and building those crucial relationships. That's what AI in procurement is all about. It's like having a super-efficient assistant that handles the grunt work, freeing you up to focus on what really matters.

Automated Spend Classification

Use AI to automatically cleanse and classify raw spend data from our ERP and credit cards. This turns a manual, month-long chore into an automated, near-real-time process. No more sifting through spreadsheets trying to guess what 'Misc. Services' actually means.

Predictive Opportunity Identification

AI tools can analyse historical spend, contract data, and market indices to proactively identify savings opportunities. It'll flag categories with upcoming contract expirations that are trending above market price or spot fragmented 'tail spend' ripe for consolidation. You'll be ahead of the curve.

AI-Powered Supplier Discovery & Risk Monitoring

Use AI platforms to scan the globe for potential new suppliers based on your detailed criteria. At the same time, it can continuously monitor existing key suppliers for risk signals (negative news, financial distress) and give you real-time alerts. No more nasty surprises.

Intelligent Contract Analysis & RFP Drafting

AI can scan thousands of existing contracts to identify non-standard clauses, risks, or opportunities in minutes. You can also use generative AI to create a first draft of an RFP or Scope of Work based on a category playbook and a few key prompts. It's a huge head start.
