3What this role really is

A contracts assistant supports the day-to-day work of managing contracts. You keep things moving, filing documents correctly, chasing signatures, and keeping systems up to date. It is the engine room of the contracts process, not glamorous, but essential for keeping a business safe and compliant.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

Microsoft Word Advanced

You'll be using Word constantly for contract drafting, redlining, document comparison, and making sure formatting is perfect. Master of Track Changes is a must!

DocuSign (eSignature) Intermediate

Preparing and sending documents for e-signature, tracking their completion, and managing user access. You'll become very familiar with this.

Ironclad / LinkSquares (CLM) Intermediate

Managing contract intake, tracking status, uploading executed agreements, and running pre-built reports. This is our central hub for contracts.

iManage / NetDocuments (DMS) Intermediate

Adhering to our strict filing conventions, managing version control for documents, and handling retrieval requests. Keeping our documents organised is key.

Microsoft Outlook Advanced

Managing your inbox, scheduling meetings, and communicating with internal and external parties. Efficient email management is crucial.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Processing standard NDA requests Execute using approved templates under daily supervision; escalate any non-standard clauses. Independently execute and manage the full lifecycle for standard NDAs; flag and propose solutions for minor deviations. Design and optimise the NDA process, including template updates and training for business users.
Data entry into CLM system Perform data entry as instructed, with all entries subject to review. Independently perform data entry, responsible for accuracy, and identify common errors. Define data entry standards and audit processes, train others on best practices.
Chasing signatures Follow established protocol for sending reminders; escalate non-responsive parties to manager. Independently manage signature chase process, adapt approach based on stakeholder, escalate only complex issues. Develop strategies and tools to reduce signature turnaround time across the business.
Handling urgent requests Immediately flag to Contracts Administrator for prioritisation and guidance. Assess urgency and impact, reprioritise own workload, inform manager of changes. Anticipate potential urgent requests, implement preventative measures, and manage stakeholder expectations.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

NDA Turnaround Time
The average time it takes from receiving a standard Non-Disclosure Agreement (NDA) request to sending it out for signature.
Target · Under 24 hours

If a Sales Exec asks for an NDA at 10 am on Monday, it should be with the counterparty by 10 am Tuesday at the latest. We track the timestamp in our CLM system.

Contract Data Entry Accuracy
The percentage of executed contracts where key metadata (e.g., renewal date, counterparty name, value) is accurately entered into the CLM system.
Target · 99.5% accuracy

Out of 200 contracts processed in a month, you'd be allowed one minor error. We'll spot-check your entries against the signed document.

Intake Queue Triage Time
How quickly you acknowledge and process new contract requests that land in the Legal team's shared inbox or CLM intake form.
Target · Under 2 hours (during working hours)

If a request comes in at 11 am, you'll have it logged and assigned (or actioned yourself) by 1 pm that same day. This helps set expectations for the business.

Signature Completion Rate
The percentage of contracts you send for e-signature that are actually signed and returned within the expected timeframe.
Target · 85% within 3 business days

If you send 10 contracts for signature, we'd expect at least 8 or 9 to come back signed within three days, indicating effective chasing.

Organisational Skills
How well you maintain our contract filing system and ensure documents are easily retrievable.
  • Files are consistently named and stored in the correct folders. You can quickly find specific documents when asked. There are no 'lost' contracts or missing versions.
Proactive Communication
Keeping internal teams updated on contract status without them having to chase you.
  • You'll send brief updates to Sales when an NDA is sent or signed. You flag potential delays to your manager before they become a problem. People tell us you're good at keeping them in the loop.
Learning and Application
Your ability to quickly pick up new processes and tools, and apply feedback to improve your work.
  • You ask thoughtful questions during training. You don't make the same mistake twice. You're able to independently handle new, similar tasks after being shown once or twice.
Attention to Detail
The precision and accuracy of your work, especially when preparing documents for signature or entering data.
  • Typos are rare. All necessary fields are completed. You'll spot inconsistencies in a document before it goes out. Your manager rarely has to correct minor errors in your work.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Bringing Order to Chaos

You'll get a real kick out of taking a messy folder of documents and turning it into a perfectly organised, searchable system. You enjoy creating checklists and making sure everyone follows them.

Successfully implementing a new naming convention for contract files that everyone actually uses, making it easy to find anything at a moment's notice.

Being the 'Go-To' Person for Process

You like being the one who knows how things *should* be done, and you're happy to guide others through the correct steps for contract requests or filings.

A new Salesperson comes to you directly asking 'How do I get an NDA?' because they know you'll give them the clear, correct process.

Protecting the Business

You understand that your meticulous work directly contributes to reducing legal risk for the company. You feel a sense of responsibility for getting the details right.

Catching a crucial error in a contract's payment terms before it's signed, potentially saving the company thousands of pounds.

What frustrates people
  • Chasing Signatures: The endless task of hounding busy people for signatures, especially when they're the final bottleneck.
  • Rogue Contracting: Discovering a business team used an old, unapproved template, creating unnecessary risk.
  • The 'Urgent' Fire Drill: Your entire day being disrupted by an 'emergency' request that needs to be dropped for a deal closing in an hour.
  • Vague Requests: Getting emails like 'Can you find the agreement with Acme?' with no date, subject, or business unit context.
  • Version Control Hell: Trying to reconcile multiple 'final' versions of a document that have been emailed around outside our official system.
What this role does not give you
  • Direct legal advice or drafting complex legal clauses (that's for the lawyers).
  • A fast track to management without solid foundational experience.
  • A highly varied daily routine; some tasks are repetitive but crucial.
  • Complete autonomy over strategic decisions; you'll be executing, not strategising.

8Who you work with

This role underpins the efficiency of our entire contract lifecycle. You're the one making sure agreements are processed quickly and accurately, which directly helps our sales teams close deals and keeps our legal obligations in check. Get it right, and the business runs like clockwork; get it wrong, and we face delays, potential compliance issues, and unhappy internal clients.

Inside the business
  • Contracts Administrator (your direct manager)
  • Sales Team (especially Account Executives)
  • Finance Team (for contract values and billing)
  • Legal Counsel (for document review and guidance)
Outside the business
  • Counterparties (the other party to a contract)
  • External Legal Counsel (occasionally, for specific matters)

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • Proven ability to work with high accuracy and attention to detail in a previous role (e.g., administrative assistant, data entry, customer service).
  • Strong organisational skills, demonstrated by managing multiple tasks or projects effectively.
  • Excellent written and verbal communication skills in English.
  • Intermediate to Advanced proficiency with Microsoft Word (Track Changes, formatting) and Outlook.
  • A genuine interest in the legal field and how contracts support a business.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced CLM System Navigation & Reporting

As our CLM system becomes more central, being able to dig deeper into it for specific information or to generate custom reports will be really valuable. It's about getting more insights, faster.

Custom Report Building (basic) · Workflow Understanding · Data Integrity Best Practices

  • This quarter: Ask your Contracts Administrator to show you how they run their weekly CLM reports and what data they look for.
  • Next quarter: Try building a simple report yourself (with guidance) to track a specific metric, like average contract review time.
  • Month 3-6: Take an online tutorial for our specific CLM system to learn about its reporting features.
  • Ongoing: Regularly review your own data entries for consistency and accuracy, knowing it impacts future reporting.

Quick win: Familiarise yourself with all the existing reports in our CLM. Understand what they show and why they're important—this will give you a head start.

11Staying current once you are in

What people here do to keep up
  • Attending webinars or online courses on contract basics or legal operations (many free resources available).
  • Reading industry blogs or publications focused on legal tech or contract management.
  • Participating in internal training sessions on our CLM or e-signature systems.
  • Seeking feedback from your manager and peers to identify areas for growth and improvement.

16Pay and demand

Pay & demand

The figure is the median for full-time employees in the ONS occupation this job title codes to (Records clerks and assistants), from the April 2025 survey, about six months old when published, as ASHE always is. It is that occupation's middle, not this role's. Half earn more.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Contracts Assistant is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, parts of contracts work can be a bit repetitive. But what if you could offload some of that grunt work to AI? Imagine getting back hours every week to focus on more interesting challenges or simply to finish on time.

Our Legal team is always looking for ways to work smarter, not just harder. We're starting to use AI tools to take the sting out of some of the more tedious contract tasks. As a Contracts Assistant, you'll be at the forefront of using these tools to make your day-to-day work smoother and more efficient.

Automated Clause Extraction

Imagine scanning a stack of old PDFs and having AI automatically pull out all the key dates, party names, and specific clauses. This tool can save you hours of manual data entry, especially during big projects like migrating to a new CLM system. It's like having a super-fast, tireless assistant for document review.

Risk Flagging on Redlines

When a counterparty sends back a contract with changes (a 'redline'), AI can quickly scan it and highlight any clauses that deviate from our approved legal playbook. This means our attorneys can instantly see what's changed and where the potential risks are, speeding up their review and helping you learn what to look out for.

Smart Template & Clause Suggestions

When you're drafting a new standard contract, AI can recommend the most relevant pre-approved clauses from our library based on the contract type or jurisdiction. This helps you create initial drafts much faster and ensures you're always using the latest, correct language. No more hunting through old documents!

Plain-Language Summaries

Once a complex contract is signed, AI can generate a concise, easy-to-understand summary of its key business terms. This is brilliant for sharing with sales or finance teams who don't need to wade through all the legal jargon. It saves you time writing these summaries and makes legal info more accessible to everyone.
