3What this role really is

A buyer sources goods and services from the right suppliers at a fair price, making sure they arrive on time. You make sure internal teams get what they need without overspending or cutting corners, following the rules on how money is spent.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

SAP Ariba / Coupa (P2P Suite) Intermediate

Processing requisitions, creating purchase orders, navigating supplier catalogues, running basic spend reports for your categories. You'll be pretty comfortable with the system.

Icertis / DocuSign CLM (Contract Management) Basic

Searching for existing contracts, understanding key metadata fields (like expiration dates), initiating renewal workflows, and tracking contract status. You won't be drafting them from scratch.

EcoVadis / Achilles (Supplier Risk & Compliance) Basic

Onboarding new suppliers, requesting and reviewing standard compliance documents (e.g., ISO certifications, insurance certificates), and flagging any missing information for follow-up.

Jaggaer / Scout RFP (eSourcing) Intermediate

Building simple RFQs and RFIs from templates, managing supplier Q&A during a sourcing event, and collating bid responses for review by your manager or internal stakeholders.

Microsoft Excel Intermediate

Using VLOOKUP/XLOOKUP, PivotTables, conditional formatting, and basic charting to compare supplier bids, track savings, and manage your workload. You should be able to manipulate data confidently.

Power BI / Tableau (Visualization) Basic

Viewing and filtering pre-built dashboards to track key performance indicators (KPIs) like spend by category or supplier performance. You won't be building new dashboards yet, but you'll use them for insights.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
New Supplier Selection (for routine purchases) Propose options, but manager makes final decision. Select from pre-approved list up to £5K; propose and get approval for new suppliers. Approve new suppliers within category strategy; consult on strategic suppliers.
Contract Renewal Negotiations Support senior team with data; observe negotiations. Lead negotiations for routine renewals within defined parameters; escalate complex issues. Lead all negotiations for assigned categories; define negotiation strategy.
Purchase Order Approval No approval authority; all POs reviewed by manager. Approve POs up to £5,000; escalate above this amount. Approve POs up to £25,000; manage team's PO approvals.
Process Improvement Suggestions Suggest minor improvements to supervisor. Propose and implement minor process tweaks within your own workflow; suggest broader improvements to manager. Design and implement process improvements for entire workstreams or categories.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Requisition-to-PO Cycle Time
How quickly you can turn an approved internal request into a formal purchase order with a supplier. Basically, how fast you get things moving.
Target · Under 48 hours for standard requests, 24 hours for urgent ones.

If a marketing team asks for new software on Monday morning, we'd expect the PO to be with the supplier by Wednesday morning at the latest, assuming all approvals are in place.

PO Accuracy Rate
The percentage of purchase orders you issue that are completely error-free – no wrong quantities, incorrect pricing, or dodgy delivery addresses.
Target · > 99.5% error-free. We're aiming for perfection here, honestly.

Out of 200 POs raised in a month, you should have no more than one error. That one error, by the way, will still cause a headache for someone.

On-Time Delivery (OTD) Rate
The percentage of orders from your managed suppliers that arrive on time, as agreed in the PO.
Target · > 98% for your portfolio of managed suppliers.

If you're managing 50 deliveries a quarter, no more than one should be late. We really don't like explaining delays to our internal customers.

Realised Hard Savings (for renewals)
The actual cash savings you achieve when renewing existing contracts, compared to the previous year's price.
Target · Roughly £100K - £250K annually, depending on your category portfolio.

If we paid £10,000 for a service last year and you negotiate it down to £9,000 for this year, that's £1,000 in hard savings. Simple as that.

Supplier Relationship Quality
How well you build and maintain relationships with your suppliers, ensuring they see us as a fair and reliable customer, not just a transaction.
  • Suppliers proactively share market insights with you. They're responsive to issues. You get good feedback from internal teams about how their suppliers are performing. They're willing to go the extra mile when we need it.
Adherence to Procurement Process
How consistently you follow our established sourcing, contracting, and purchasing procedures. This is about protecting the company and ensuring fairness.
  • Your sourcing files are complete and auditable. You don't bypass steps without a very good, documented reason. Internal audit reviews find no issues with your processes. You're seen as someone who 'does things by the book'.
Proactive Problem Solving
Your ability to spot potential issues before they become big problems and come up with sensible solutions, rather than just waiting to be told what to do.
  • You flag a potential supply delay before it impacts a project. You suggest a different supplier when the first choice is too expensive. You identify a recurring issue with a supplier and propose a plan to fix it, rather than just complaining.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Achieving Tangible Savings

You'll get a real kick out of seeing the numbers drop on a renewal, or finding a more cost-effective supplier for a service. That feeling of knowing you've saved the company actual cash is a big driver.

Successfully negotiating a 10% discount on a software licence renewal, saving the company £15,000 that goes straight to the bottom line.

Building Effective Relationships

You enjoy the back-and-forth with suppliers and internal teams. You like being the go-to person who connects people and solves problems by bringing different parties together. You thrive on being seen as a fair and reliable partner.

Getting positive feedback from a department head about how smoothly a new supplier onboarding went, or a supplier thanking you for clear communication.

Improving Processes and Efficiency

You're someone who looks at a clunky process and thinks, 'there must be a better way.' You'll enjoy finding small tweaks that make things run smoother, faster, or with fewer errors, even if it's just for your own workload.

Developing a simple Excel template that shaves 30 minutes off your weekly reporting, or suggesting a minor change to the PO approval flow that speeds things up for everyone.

What frustrates people
  • The Late Engagement: Being pulled into a 'deal' after a stakeholder has already picked a supplier and basically promised them the business. You're reduced to a rubber-stamping administrator.
  • The 'Urgent' Backdoor Request: A senior leader demands you raise a PO immediately for their 'pet' supplier, forcing you to bypass all due diligence and sourcing processes. It's frustrating, but it happens.
  • Data Janitor Duty: Spending too much of your time cleaning up messy supplier master data, inconsistent category coding, and ambiguous descriptions in the ERP just to run a coherent spend analysis. It's tedious, but someone's got to do it.
  • The Value Perception Gap: Constantly having to justify that procurement is a strategic value-add, not just a bureaucratic roadblock that slows things down. You'll get used to it, but it can be annoying.
What this role does not give you
  • A completely predictable, routine day – expect curveballs.
  • Total autonomy on high-value, strategic decisions; you're still learning and will need guidance.
  • A job where every single project you work on gets implemented or sees the light of day.

8Who you work with

Your work directly impacts our operational efficiency and cost base. Get good deals and manage suppliers well, and you free up cash for other parts of the business. Mess it up, and you're costing us money, time, and potentially reputation. It's a proper commercial role, even if it doesn't always feel glamorous.

Inside the business
  • Department Heads (e.g., Marketing, HR, Facilities)
  • Finance Team (Accounts Payable, Budget Holders)
  • Legal Team (for contract reviews)
  • Project Managers (who need stuff for their projects)
Outside the business
  • Existing Suppliers (for renewals and performance reviews)
  • New Potential Suppliers (for RFQs)
  • Supplier Account Managers

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • At least 2 years of experience in a transactional procurement, purchasing, or supply chain role, or equivalent experience.
  • A solid understanding of the Procure-to-Pay (P2P) process from requisition to payment.
  • Demonstrable experience using an ERP or P2P system (like SAP Ariba, Coupa, or similar) to raise POs and manage requisitions.
  • Proven ability to manage multiple tasks and prioritise effectively in a busy environment.
  • Strong numerical aptitude and attention to detail – you'll be dealing with numbers and contracts a lot.
  • A genuine curiosity about how things work and how to get a good deal.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced Data Analysis with Excel & Power Query

As AI handles more basic data tasks, your ability to perform complex 'what if' scenarios, cleanse messy data, and build robust TCO models in Excel will become even more critical for higher-value analysis.

Power Query for data transformation · Scenario and sensitivity analysis · Advanced array formulas

  • This month: Take an online course on Power Query. There are loads of free ones.
  • Next quarter: Rebuild one of your recurring spend analysis reports using Power Query to automate the data prep.
  • Next 6 months: Practise building a simple TCO model that incorporates different scenarios (e.g., different payment terms, different service levels).

Quick win: Start using 'Text to Columns' and 'Remove Duplicates' in Excel more regularly. Small steps, big time savings.

Data Storytelling & Visualisation (Power BI/Tableau)

It's not enough to just pull data; you need to tell a compelling story with it. Being able to build clear, impactful dashboards and present insights from them will elevate your role beyond just reporting numbers.

Dashboard design principles · Connecting to different data sources · Interpreting trends and anomalies

  • This month: Spend an hour each week exploring existing dashboards in Power BI/Tableau. Understand how they're built.
  • Next quarter: Try to recreate a simple chart from one of your Excel reports in Power BI/Tableau.
  • Next 6 months: Work with your manager to identify a small, recurring report that could be turned into an interactive dashboard.

Quick win: When you present any numbers, always ask yourself: 'What's the one thing I want people to take away from this?' That's the start of data storytelling.

11Staying current once you are in

What people here do to keep up
  • Attending industry webinars or online courses on negotiation tactics or supplier relationship management.
  • Joining local procurement networking groups to share insights and learn from peers.
  • Reading industry publications (e.g., Supply Management, Procurement Leaders) to stay updated on market trends.
  • Seeking out opportunities to shadow a Senior Buyer or Category Specialist on a more complex sourcing project.

The ten Future Fluencies

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Buyer is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Honestly, a lot of the grunt work in procurement used to be unavoidable. But not anymore. We're embracing AI to take the boring, repetitive tasks off your plate, freeing you up to do the interesting stuff – like negotiating great deals and building strong relationships.

Imagine spending less time on data entry, chasing documents, or sifting through mountains of supplier information. Our AI tools are designed to automate the tedious bits, giving you back precious hours every week. It's not about replacing you; it's about making you a more effective, strategic Buyer.

Automated 3-Way Matching

AI reviews invoices, purchase orders, and goods receipt notes, automatically flagging discrepancies and approving matches. This eliminates the most tedious manual task in transactional procurement, meaning less time spent chasing down mismatches and more time on value-add activities.

Spend Anomaly Detection

AI analyses millions of lines of spend data to automatically identify maverick spend, price variances for the same item, and opportunities for supplier consolidation that are invisible to the human eye. You'll get alerts, not endless spreadsheets to pore over.

AI-Powered Supplier Discovery

AI tools scan the web, financial reports, and news sentiment to generate a shortlist of potential suppliers for an RFQ, complete with initial risk profiles, diversity certifications, and ESG scores. No more endless Google searches; just a smart, pre-vetted list to start from.

Contract Risk Summariser

AI reviews a supplier's contract draft and instantly summarises key clauses in plain English, flagging non-standard terms (e.g., unlimited liability, auto-renewal) for legal review. This means you can quickly understand the implications without getting bogged down in legal jargon.
