3What this role really is

A Health & Safety Coordinator keeps safety paperwork and systems in order so a workplace runs safely. You support H&S Administrators, keep records and systems up to date, and help make sure staff have what they need to stay safe. The work is hands-on, checking documents, updating systems and following up on safety issues.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

EHS Management Platform (e.g., Intelex, VelocityEHS, Cority) Basic

Entering incident data, tracking corrective actions, pulling standard reports, and navigating the system to retrieve information with guidance. You'll be the primary data inputter here.

Document Control System (e.g., SharePoint, MasterControl) Basic

Uploading, versioning, and retrieving safety documents like SDS, policies, and procedures, always following established protocols. You'll ensure the right document is in the right place.

Learning Management System (LMS) (e.g., Litmos, Docebo, Workday Learning) Basic

Assigning training modules to employees, tracking completion rates, and generating basic compliance reports for supervisors. You'll help keep our training records spotless.

Microsoft Office Suite (Word, Excel, Outlook) Intermediate

Creating and editing documents, managing calendars and emails, and using basic spreadsheets for tracking data. You'll be using these tools constantly for daily admin tasks.

Chemical Management Software (e.g., Chemwatch, SiteHawk) Basic

Looking up Safety Data Sheets (SDS) on request and helping to maintain the chemical inventory list with accurate quantities and locations. You'll be the go-to for finding chemical info.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Incident Classification Escalate to Health & Safety Administrator. You'll help gather facts, but the final classification (e.g., LTI, Near Miss) is not your call. You'll propose classifications based on evidence, but still get manager approval for anything complex or high-impact. You'll make classifications independently for most incidents, only consulting on highly ambiguous or sensitive cases.
Document Version Control Follow existing procedures precisely. If you're unsure which version to use or how to archive, ask your manager. You'll manage document versions within established guidelines, ensuring correct archiving and publication. You'll flag any issues with the process. You'll design and refine document control procedures for specific workstreams, making decisions on folder structures and access permissions.
Training Compliance Action Flag overdue training to the relevant supervisor or your manager. You won't be chasing individuals directly or making decisions on consequences. You'll follow up with supervisors on overdue training and suggest solutions for improving completion rates, within defined policy. You'll analyse training compliance data, identify systemic issues, and propose new training strategies or interventions to management.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Data Entry Accuracy
How many errors you make when inputting incident details, training completions, or inspection findings into our EHS system.
Target · >99% accuracy rate

If you enter 100 incident records, we'd expect no more than one minor data error (e.g., a typo in a name, an incorrect date format). Missing a critical field entirely would be a bigger issue, of course.

Timeliness of Record Updates
How quickly you process and update essential safety records once you receive them.
Target · All incident reports logged within 24 working hours; training records updated within 48 working hours.

An incident report lands on your desk on Monday morning. We'd expect it to be fully entered into Intelex by Tuesday morning at the latest. If a training course finishes on Friday, the attendance should be in the LMS by Tuesday.

Document Control Adherence
How well you follow our established procedures for filing, versioning, and archiving safety documents.
Target · 100% adherence to document control protocols; zero instances of incorrect versions being used.

When you upload a revised safety procedure to SharePoint, you ensure it's in the correct folder, the old version is archived, and the version number is updated exactly as per our policy. No one should ever accidentally use an out-of-date form.

Task Completion Rate
The percentage of assigned administrative tasks (e.g., scheduling meetings, ordering PPE, preparing basic reports) that you complete on time.
Target · >95% of tasks completed by their agreed deadline.

If you're asked to schedule 10 toolbox talks for the month, we'd expect at least 9 of them to be booked and confirmed by the deadline you've agreed with your manager.

Adherence to Procedures
This is about following the rules, even when no one's watching. It's about showing you understand why we have processes and sticking to them.
  • You consistently follow checklists and templates without needing reminders. Your manager trusts you to handle routine tasks independently because they know you'll do it by the book. You ask clarifying questions when a procedure isn't clear, rather than guessing.
Proactive Learning & Engagement
How much you lean into learning about health and safety, asking questions, and showing initiative to understand the 'why' behind the 'what'.
  • You actively participate in team meetings, asking thoughtful questions. You're keen to shadow colleagues on site visits or incident investigations. You take advantage of internal training opportunities and share interesting articles or insights you've found (relevant ones, not just random internet stuff!).
Support & Collaboration
How well you work with your immediate team and other departments, offering help and being a reliable point of contact for basic H&S queries.
  • Colleagues say you're approachable and helpful when they need assistance with a form or finding a document. You respond to internal emails promptly and professionally. You offer to help out when a team member is swamped, even if it's not strictly 'your' job.
Attention to Detail
Spotting the small things that others might miss, especially in data and documentation. This is crucial for compliance.
  • You catch a typo in a report before it goes out. You notice a missing signature on a permit. When reviewing a list, you spot a duplicate entry or an inconsistency that needs checking. You're the person who sees the decimal point that's out of place.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Making a Tangible Difference to Safety

You'll feel a sense of purpose knowing that your accurate data entry helps identify hazards, or that your organised training records mean everyone gets the vital safety knowledge they need. You're directly contributing to preventing accidents.

After correctly logging a series of near-misses involving a specific piece of equipment, you see the H&S Administrator start an investigation, knowing your data helped flag it. That's a real win.

Learning and Developing Expertise

You'll thrive on understanding new regulations, learning how our EHS systems work, and getting to grips with the 'why' behind our safety procedures. Every day is a chance to absorb more knowledge about a critical field.

You'll spend time asking your manager about the different types of incident investigations or the purpose of a specific form, genuinely wanting to understand the bigger picture.

Working in a Structured, Organised Environment

If you enjoy bringing order to chaos, creating logical filing systems, and following clear processes, you'll find this role very satisfying. It's about precision and control in documentation.

Organising a jumble of paper training certificates into a perfectly indexed digital folder will give you a quiet sense of accomplishment.

What frustrates people
  • Chasing people for overdue incident reports or training attendance sheets. It's like pulling teeth sometimes.
  • The sheer volume of data entry, especially after a busy period or a big audit. It can feel relentless.
  • Dealing with the 'it's always been done this way' mentality when trying to implement new, safer procedures.
  • Feeling like you're constantly fighting the perception that H&S is just about rules and paperwork, not about genuine care for people.
  • The emotional weight of accurately documenting serious incidents, which can be tough.
What this role does not give you
  • High-level strategic decision-making (not yet, anyway).
  • A role where you're constantly out in the field conducting complex investigations (you'll support these, but not lead them).
  • A job where you can ignore details and just focus on the big picture.
  • A 'set it and forget it' kind of role; there's always something to track or update.

8Who you work with

Your work directly supports the entire organisation's safety culture and compliance standing. Accurate record-keeping means we can prove we're meeting our legal duties, and timely data entry helps us spot potential hazards before they become serious incidents. Frankly, without someone like you keeping the admin side organised, the whole safety programme would grind to a halt.

Inside the business
  • Operations Managers (for incident reports and safety data)
  • HR Department (for training records and new starter inductions)
  • Site Supervisors (for inspection checklists and toolbox talk attendance)
  • Facilities Team (for maintenance safety permits)
Outside the business
  • Training Providers (for scheduling and record-keeping)
  • Safety Equipment Suppliers (for order tracking and documentation)

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • Strong organisational skills – you're naturally tidy and can keep track of multiple tasks.
  • Meticulous attention to detail – you spot errors others miss and care about accuracy.
  • Good written and verbal communication skills – you can write a clear email and speak professionally.
  • Basic computer literacy – you can use Microsoft Office (Word, Excel, Outlook) without much fuss.
  • A genuine interest in health and safety – you understand why this work matters and are keen to learn more.
  • Ability to follow instructions precisely – you can stick to a procedure without cutting corners.
  • A positive attitude and a willingness to learn – you're open to feedback and eager to develop.

10What to practise next

Where the job is going, and what to do about it starting this week.

Enhanced Data Quality Assurance

Important within 12 months. With more data being automatically generated or AI-processed, your role will increasingly involve verifying the quality and integrity of that data, not just entering it. Bad data leads to bad decisions, and you'll be a key gatekeeper.

Data Validation Rules · Error Identification · Root Cause of Data Errors

  • This week: Pay extra attention to common data entry errors you or others make. Start a log of these.
  • This month: Learn basic Excel functions like VLOOKUP, COUNTIF, and conditional formatting to highlight potential data issues.
  • Month 2: Work with your manager to identify one recurring data quality issue and propose a simple fix or process improvement.
  • Month 3: Take an online course on data cleansing or data quality basics. There are plenty of free resources out there.

Quick win: Create a simple Excel sheet to track common data entry mistakes in your own work and review it weekly. It's a quick way to improve accuracy.

11Staying current once you are in

What people here do to keep up
  • Attending internal H&S training sessions, even if they're not directly required for your role. It's a great way to learn.
  • Shadowing more experienced H&S Administrators or Specialists on site visits or during incident investigations (where appropriate and safe).
  • Reading industry publications and staying up-to-date with H&S news and regulatory changes (we can recommend some good ones).
  • Participating in internal safety committees or working groups to understand how decisions are made and implemented.

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. The highlighted ones are the Fluencies your role leans on hardest, from how Health & Safety Coordinator is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a big chunk of health and safety admin involves repetitive tasks, data entry, and sifting through documents. But what if you could offload some of that grunt work to AI? That's exactly what we're doing here. We're not talking about replacing you; we're talking about giving you a seriously smart assistant.

Imagine spending less time on manual data input and more time actually understanding the data, or getting a head start on drafting important safety communications. Our AI Productivity Hub is all about making your day-to-day work as a Health & Safety Coordinator more efficient, more accurate, and frankly, a lot less tedious. It's about empowering you to focus on the truly impactful parts of the job.

Automated Form Digitization

Use AI with Optical Character Recognition (OCR) to scan paper-based forms like inspection checklists or permits-to-work. The AI extracts all the relevant data, populates our EHS system, and even flags missing signatures or incomplete fields for you to review. No more endless manual typing!

Instant Regulation Summarizer

Got a new, dense 50-page safety regulation to get your head around? Feed it to an AI assistant. Ask it to 'summarise the key points for our operational staff' or 'create a checklist for basic compliance'. What used to take you hours of reading and note-taking can now be done in minutes, giving you a solid first draft to work from.

Toolbox Talk Content Generator

Need to draft a quick safety briefing for a team? Based on a recent near-miss report or a common hazard, prompt AI to 'Write a 5-minute toolbox talk for warehouse staff about safe lifting techniques. Include 3 key discussion questions.' You'll get a great starting point in seconds, saving you time and brainpower.

Data Verification Assistant

Instead of manually cross-referencing every data point, use AI to quickly verify consistency across different reports or datasets. It can flag discrepancies in incident dates, employee IDs, or equipment numbers, helping you ensure data accuracy before it goes to your manager.
