3What this role really is

A Purchasing Officer places orders, chases suppliers and checks deliveries match what was ordered. It keeps a business running by making sure the right supplies arrive at the right time.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

SAP Ariba (or similar P2P/ERP) Intermediate

Creating requisitions, issuing purchase orders, performing 3-way matching, running standard spend reports, and managing supplier profiles. You'll be in this system a lot, honestly.

Using VLOOKUP/XLOOKUP for data reconciliation, creating PivotTables for basic spend analysis, and using conditional formatting to track order statuses or identify issues. You'll be building and maintaining simple trackers.

DocuSign CLM (or similar Contract Lifecycle Management) Basic

Uploading executed contracts, tracking key dates like renewals and expirations, and retrieving specific documents or clauses when needed. You're mainly a user, not a configurator.

Power BI / Tableau Basic

Consuming and interpreting pre-built dashboards to track KPIs like spend by category or supplier performance. You'll use these to monitor your own areas, not build new ones.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Supplier Selection (Routine Spend) Recommends supplier to supervisor based on quotes; no independent decision. Selects supplier from pre-approved list for purchases under £25K, following competitive bidding rules. Escalates new suppliers or higher spend. Approves supplier selection for complex projects up to £100K; defines sourcing strategy for a category.
Purchase Order Approval Prepares PO for supervisor's review and approval. Issues POs independently for approved requisitions within defined spend limits (e.g., up to £50K). Approves POs for their team or specific categories up to £250K.
Contract Term Negotiation (Minor) Identifies potential issues and flags to supervisor; no negotiation authority. Negotiates minor commercial terms (e.g., payment terms, delivery dates) within standard contract templates. Escalates legal terms. Leads negotiation of all commercial terms and works with legal on key contractual clauses.
Process Improvement Suggestions Suggests minor improvements to supervisor. Identifies process bottlenecks and proposes solutions to manager; may implement small changes with approval. Designs and implements significant process improvements across a workstream.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Requisition-to-PO Cycle Time
How quickly you turn an approved internal request into an actual purchase order sent to a supplier.
Target · Under 48 hours for standard requests (excluding complex sourcing events).

If a team puts in a request on Monday morning, we expect the PO to be with the supplier by Wednesday morning at the latest, assuming all approvals are in place.

PO Accuracy Rate
The percentage of purchase orders you issue that don't need any corrections (e.g., wrong price, quantity, or supplier details).
Target · Greater than 99%.

Out of 100 POs, you should have no more than one that needs to be amended after it's been sent out. Little errors cause big headaches for Finance.

Supplier On-Time Delivery (OTD)
Making sure our suppliers deliver what they promised, when they promised it, for the orders you manage.
Target · Maintain >95% OTD for your assigned suppliers.

If a critical component is due on Tuesday, it needs to arrive on Tuesday. Your job is to chase, escalate, and make sure that happens, or at least communicate delays proactively.

Cost Savings/Avoidance (Transactional)
Identifying and capturing small savings opportunities on routine purchases or preventing price increases.
Target · Identify and realise £10K-£20K in annual savings/avoidance.

Negotiating a 2% discount on a regular office supplies order that amounts to £500 over the year, or getting a supplier to hold prices when they've tried to push through a 3% increase.

Stakeholder Satisfaction
How happy our internal teams are with the support and service you provide.
  • You'll get positive feedback from internal teams about your responsiveness and problem-solving. They'll come to you for advice, not just to place an order. You're seen as helpful and reliable, not just a 'PO pusher'. This means fewer complaints and more 'thank yous'.
Supplier Relationship Management
Building and maintaining good working relationships with our key suppliers.
  • Suppliers will be proactive in communicating issues to you, not just waiting for you to chase them. They'll see you as a fair and professional point of contact. This often means getting better service, quicker responses, and sometimes even preferential treatment when things are tight.
Process Adherence & Improvement
Following our established procurement processes and spotting ways to make them better.
  • Your work will consistently follow our policies (e.g., getting quotes, proper approvals). You'll also proactively suggest small tweaks to our P2P process that save time or reduce errors, rather than just doing things the 'old way' because it's easier.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Making Things Happen

You get a real kick out of seeing a request go from an idea to a delivered item that someone needs. You like being the person who connects the dots and makes sure the gears keep turning.

Seeing a new piece of equipment arrive in the warehouse, knowing you navigated all the steps to get it there, and hearing the operations team say 'great job!'

Solving Puzzles & Problems

When a supplier lets us down or a delivery goes missing, you enjoy the challenge of figuring out how to fix it. It's like a daily puzzle where the solution directly impacts the business.

A critical part is delayed, and you manage to find an alternative supplier who can deliver it just in time, averting a production halt.

Being a Trusted Go-To Person

You like being the person that colleagues come to for help with their purchasing needs, knowing you'll give them the right advice and get the job done reliably.

An internal stakeholder specifically asks for your help with a tricky order because they've heard you're the best at getting things sorted.

What frustrates people
  • The 'urgent' request that lands on your desk at 4 PM on a Friday with incomplete information.
  • Having to chase down senior leaders for approvals when they're busy, delaying critical orders.
  • Dealing with suppliers who promise the world but then consistently underperform after the contract is signed.
  • Being asked to 'just get a PO' for something that clearly needs a proper sourcing process.
  • Finding out about 'maverick spend' (purchases made outside the system) that you then have to retrospectively fix.
  • Dealing with internal teams who don't understand why procurement processes exist and see you as a blocker.
What this role does not give you
  • High-level strategic sourcing responsibility (that's more for Senior Purchasing Officers or Category Specialists).
  • Direct management of a team (you'll guide, but not manage).
  • Extensive international travel for supplier visits (most of your interactions will be remote).
  • A quiet, predictable routine with no interruptions or urgent demands.

8Who you work with

This role directly affects our operational efficiency and cost control. Get it right, and we save money and keep things moving. Get it wrong, and we're looking at delays, budget overruns, and frustrated colleagues. You're essentially safeguarding our supply chain for routine items.

Inside the business
  • Operations Team
  • Finance Department (Accounts Payable)
  • IT Department
  • Project Managers
  • Warehouse & Logistics
Outside the business
  • Key Suppliers (account managers)
  • Freight & Logistics Providers
  • Software Vendors

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • At least 2 years of experience in a transactional purchasing or supply chain role.
  • Proven experience using an ERP or P2P system (like SAP Ariba, Oracle, Coupa) for creating POs and managing requisitions.
  • Demonstrable experience with Microsoft Excel, particularly VLOOKUPs and PivotTables.
  • A track record of managing multiple tasks and deadlines effectively in a busy environment.
  • Experience dealing directly with external suppliers, even if it's just for routine queries.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced P2P System Optimisation

As our systems evolve, you'll need to understand more than just how to use them. You'll be expected to spot opportunities to make the system work better for us, not just follow the existing steps.

Workflow Configuration Basics · Catalogue Management · Troubleshooting Common Issues

  • This month: Spend some time exploring the 'admin' or 'settings' sections of SAP Ariba (if you have access) to see what's configurable.
  • Next month: Shadow a more senior colleague who's involved in a system update or configuration project.
  • Month 3: Take an online course on advanced features of our P2P system, if available.
  • Month 4: Propose one small, actionable improvement to a P2P workflow to your manager.

Quick win: Identify one recurring system issue that causes you or others frustration, and research if there's a known workaround or simple fix.

11Staying current once you are in

What people here do to keep up
  • Joining the Chartered Institute of Procurement & Supply (CIPS) as a member to access resources and networking events.
  • Attending industry webinars or online courses on specific procurement topics, like negotiation tactics or supplier risk management.
  • Reading procurement trade publications or blogs to stay up-to-date on market trends and new technologies.
  • Seeking out opportunities to shadow senior colleagues on more complex sourcing projects to learn from their approach.

Prompt Engineering for Procurement Tasks

AI tools, particularly large language models (LLMs), are getting incredibly good at drafting emails, summarising documents, and even helping with basic data analysis. Knowing how to 'talk' to these tools effectively will make you much faster and more efficient.

  • Clear & Concise Prompting
  • Output Validation
  • Iterative Prompting
  • Summarisation & Drafting

Basic Data Visualisation Storytelling

It's not enough to just pull data; you'll increasingly need to present it in a way that's easy for others to understand. This means turning numbers into a clear story, even for routine spend reports.

  • Choosing the Right Chart
  • Highlighting Key Insights
  • Dashboard Interpretation
  • Simplicity & Clarity

16Pay and demand

Pay & demand

The figure is the median for full-time employees in the ONS occupation this job title codes to (Buyers and procurement officers), from the April 2025 survey, about six months old when published, as ASHE always is. It is that occupation's middle, not this role's. Half earn more.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Purchasing Officer is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of procurement work can be a bit repetitive. Imagine getting back a good chunk of your week to focus on more interesting challenges, like finding new suppliers or really digging into cost drivers. That's exactly what AI tools are starting to offer.

We're investing in AI to help our team work smarter, not harder. For a Purchasing Officer, this means less time on manual checks and more time on the stuff that actually needs your brainpower. You won't be replaced by a robot, but you'll definitely be working with one.

Automated Three-Way Matching

Picture this: AI automatically compares your purchase orders, goods receipt notes, and supplier invoices. It flags only the bits that don't match up perfectly – like a price difference or a wrong quantity. This means you're not sifting through hundreds of perfect matches; you're only dealing with the exceptions. Honestly, it cuts out so much tedious checking.

Spend Anomaly Detection

Our AI tools are constantly scanning all our spend data. They'll spot things that look a bit off, like if two departments are buying the same software at completely different prices, or if there's a sudden, unexplained spike in payments to a new supplier. It's like having an extra pair of eyes looking for waste or potential issues, freeing you from endless manual spreadsheet reviews.

AI-Powered Supplier Shortlisting

When you need to find new suppliers for a routine purchase, AI can help. Instead of just using Google, these tools can quickly scan loads of data to give you a shortlist based on criteria like certifications, financial stability, and even customer reviews. It'll give you a solid starting point much faster than you could do manually, letting you focus on the actual conversations.

Smart RFQ & Contract Summaries

Need to draft a Request for Quote (RFQ) for a standard item? AI can generate a pretty good first draft based on your prompt and our existing templates. It can also take a long supplier proposal or a contract and give you a quick summary, highlighting the key terms, any risks, or things that deviate from our usual agreements. It's a huge time-saver for document review.
