3What this role really is

A Global Category Buyer runs sourcing projects, researches markets and negotiates with suppliers to secure the best deals.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

SAP Ariba (or similar P2P/S2P suite like Coupa, GEP SMART) Intermediate

You'll be creating and running RFx events from templates, managing supplier catalogues, processing requisitions, and pulling standard spend reports. You'll know your way around it.

You'll use Excel for detailed spend analysis, tracking savings, and building basic financial models. You should be comfortable with VLOOKUPs, PivotTables, and ideally have some experience with Power Query for data cleaning.

Power BI / Tableau (dashboard use) Intermediate

You'll be using our pre-built Power BI or Tableau dashboards to analyse spend data, track savings, and monitor supplier performance. You should be able to interpret the data and answer questions from it.

Icertis (or similar CLM like DocuSign CLM, Agiloft) Basic

You'll upload executed agreements, search the repository for key terms, and track contract expiration dates. We'll train you on the specifics, but a basic understanding of contract management systems is helpful.

MS Teams / Asana / Jira Intermediate

You'll use these for daily collaboration, managing your personal tasks, and updating project status. Being organised and knowing how to use these tools efficiently is key.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Supplier Selection for RFQ/RFP Proposes a shortlist to manager for approval. Selects suppliers within an approved Preferred Supplier List (PSL); for new suppliers, proposes to manager. Defines supplier selection criteria and approves shortlist for most projects; consults Director for strategic suppliers.
Negotiation Strategy & Terms Supports senior buyer, follows script, does not lead. Develops and executes negotiation strategy for projects up to £500K annual spend, within a pre-approved mandate (e.g., 5% savings target). Escalates changes to manager. Leads complex negotiations up to £2M annual spend; defines mandate with Category Manager; has authority to make trade-offs within established parameters.
Contract Approval No authority; reviews for accuracy under supervision. Reviews contracts for commercial terms and ensures alignment with negotiation outcomes. Escalates legal points to Legal team and final sign-off to Category Manager. Drafts and reviews complex contracts; works directly with Legal; can sign off on contracts up to £100K annual value (with legal review).
Process Improvement Suggestions Identifies minor inefficiencies and reports to supervisor. Proposes specific, actionable improvements to existing sourcing processes, often leading small initiatives to test them. Designs and implements new sourcing processes or methodologies for their category, gaining buy-in from relevant teams.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Cost Savings (PPV)
This is about the actual money you save us compared to previous prices or budget. We call it Purchase Price Variance (PPV).
Target · Achieve 3-5% documented savings on assigned projects.

You negotiate a new deal for marketing services, bringing the annual spend down from £1M to £950K. That's a £50K saving, or 5% PPV. We'll track that.

Sourcing Cycle Time
How quickly you can take a business request, run a full sourcing process, and get a contract signed. Speed matters, especially for urgent needs.
Target · Complete standard RFPs within a 60-day cycle time.

From the moment Marketing asks for a new agency to the contract being signed, you get it done in 55 days. That's hitting the target.

Spend Under Management
This means how much of the money spent in your categories is actually covered by formal contracts you've negotiated with approved suppliers.
Target · Ensure >90% of assigned spend is on-contract with preferred suppliers.

If your category has £5M in annual spend, you need to show that at least £4.5M of that is going through our proper contracts, not 'maverick spend'.

Contract Compliance Rate
This tracks how often our internal teams actually use the suppliers and prices you've negotiated, rather than going off-contract.
Target · Maintain >95% compliance rate for key contracts.

You've got a great deal for office supplies. We'll check that nearly all office supply purchases are made through that contract, not random online retailers.

Supplier Relationship Quality
It's about how well you build and maintain relationships with our key suppliers. Are they partners, or just vendors?
  • Suppliers proactively bring us new ideas or cost-saving suggestions. They're responsive when issues arise. You're seen as a fair, but firm, point of contact. We'll get feedback from their account managers.
Stakeholder Feedback & Engagement
How happy are the internal teams you support? Do they feel you understand their needs and deliver value?
  • Business partners are happy to work with you on new projects. They tell your manager you're helpful and easy to work with. You get invited to early planning meetings, not just brought in at the last minute. We might run a quick internal survey.
Process Adherence & Improvement
Are you following our established sourcing processes? And are you spotting ways to make them even better?
  • Your sourcing files are complete and audit-ready. You consistently use our P2P system. You bring forward ideas for process tweaks that save time or improve outcomes, rather than just complaining about them.
Risk Identification & Mitigation
Are you spotting potential problems with suppliers or contracts before they blow up into big issues?
  • You flag potential supply chain risks (e.g., single source, financial instability) to your manager. You propose backup plans or alternative suppliers. We don't get blindsided by supplier failures in your categories.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Making a Tangible Impact

You'll see your negotiated savings directly reflected in our financial reports. You'll know that the robust contract you put in place protects the company from risk. Your work isn't abstract; it's about real money and real protection.

Closing a deal that saves us £100K annually and knowing that money can now be reinvested into growth initiatives.

Solving Complex Puzzles

Every sourcing project is a new puzzle. You'll be digging into market data, figuring out supplier strategies, and crafting negotiation plans. It's a constant intellectual challenge to find the optimal solution.

Deconstructing a supplier's price with 'should-cost' analysis to understand their true cost base and find negotiation levers.

Building Strong Relationships

You'll spend a good chunk of your time talking to people – internal stakeholders, suppliers, legal teams. If you enjoy building rapport, influencing outcomes, and seeing those relationships pay off, you'll love this.

Developing a trusted relationship with a key supplier that leads to them offering us early access to new innovations.

What frustrates people
  • The 'Wired' Deal: When stakeholders have already decided on a supplier and just want you to rubber-stamp it.
  • The Savings Evaporation Act: Negotiating huge savings only to see them disappear into budget adjustments, making it hard to prove your value.
  • The Vague SOW: Being handed a one-sentence brief and expected to conjure a full RFP and contract out of thin air.
  • PO Purgatory: Chasing budget holders for weeks to approve a Purchase Order, only for the supplier to get annoyed and delay a critical project.
  • Implementation Sabotage: Winning a great deal with a new supplier, then hearing endless complaints about minor differences from internal teams who just don't like change.
What this role does not give you
  • A quiet, predictable routine – expect curveballs and shifting priorities.
  • Instant gratification for every effort – some projects take months to bear fruit, and some won't land at all.
  • Direct authority over most of your internal collaborators – you'll need to influence, not command.
  • A purely analytical role – you'll be spending a lot of time talking to people and managing relationships.

8Who you work with

This role is crucial for keeping our costs in check and ensuring we have a reliable supply of everything we need to run the business. You're directly responsible for delivering tangible savings and making sure our contracts protect us. Get it right, and you're a hero to Finance. Get it wrong, and you'll hear about it from everyone.

Inside the business
  • Marketing (for agency services, media buys)
  • IT (for software, hardware, cloud services)
  • Operations (for manufacturing components, logistics)
  • Finance (for budget alignment, payment terms)
  • Legal (for contract review and compliance)
Outside the business
  • Existing and potential suppliers (our key partners)
  • Market intelligence providers
  • Industry associations

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • At least 2 years of experience in a procurement, sourcing, or supply chain role, where you've actively managed suppliers or run sourcing events.
  • Proven ability to conduct spend analysis and identify cost-saving opportunities using Excel or similar tools.
  • Demonstrable experience in negotiating commercial terms with suppliers, even if for smaller contracts.
  • A track record of working effectively with internal business partners to understand their needs and deliver solutions.
  • Strong understanding of the 7-step strategic sourcing process, even if you haven't led every step independently.
  • A degree in Business, Supply Chain, Finance, or a related field, or equivalent practical experience that shows your commercial acumen.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced P2P/S2P Suite Configuration

As we get more out of our systems like SAP Ariba, you'll need to understand more than just running standard RFPs. You'll be involved in configuring more complex auction strategies and building custom reports.

Advanced RFx Design · Auction Strategy · Custom Reporting & Dashboards

  • This quarter: Ask your Category Manager to involve you in the design phase of a complex RFP or e-auction.
  • Next 6 months: Seek out advanced training modules within SAP Ariba on custom reporting and advanced event configuration.
  • Next year: Propose and build a new custom report or dashboard in Ariba that addresses a specific business need.

Quick win: Explore all the reporting options available in our current P2P system. You might find hidden gems.

Enhanced Data Modelling in Excel/Power BI

Simple VLOOKUPs won't cut it forever. You'll need to build more robust financial models and create interactive dashboards from raw data, not just use pre-built ones. This means getting comfortable with data models and Power Query.

Power Query (M Language) · DAX (Data Analysis Expressions) · Relational Data Models

  • This quarter: Start using Power Query for all your data cleaning tasks in Excel. Watch some YouTube tutorials.
  • Next 6 months: Take an online course on Power BI data modelling and DAX. Try to replicate one of our existing dashboards from scratch.
  • Next year: Propose and build a new, interactive dashboard in Power BI for one of your categories, pulling data from multiple sources.

Quick win: Challenge yourself to automate one manual data task using Power Query this week. It's a game-changer.

11Staying current once you are in

What people here do to keep up
  • Attend industry webinars and conferences to stay on top of market trends and new technologies in procurement.
  • Join professional networking groups (like CIPS local branches) to connect with peers and share best practices.
  • Seek out internal training opportunities on our specific P2P systems or negotiation techniques.
  • Read industry publications and thought leadership pieces to deepen your understanding of global supply chains and category-specific challenges.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Global Category Buyer is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of procurement work can be a bit repetitive, or just plain time-consuming. But what if you could offload some of that grunt work to smart tools? That's exactly what we're doing here at Zavmo. We're not replacing people; we're giving you superpowers.

We're building an AI Productivity Hub specifically for our Procurement team. This isn't just some vague promise; it's about giving you concrete tools that take the boring bits out of your day, so you can focus on the strategic stuff – like truly understanding supplier markets, building relationships, and crafting killer negotiation strategies. Imagine getting back hours every week to do the work you actually enjoy.

Automated RFx Response Analysis

Forget sifting through hundreds of pages of supplier proposals. Our AI tools can automatically parse and score supplier RFP responses against your weighted criteria, instantly flagging non-compliant answers and creating a side-by-side comparison dashboard. You'll get a clear, objective overview in minutes, not days.

Predictive Commodity Forecasting

No more guessing games with supplier price increases. We use AI models that analyse market indices, geopolitical news, and logistics data to predict future price fluctuations for key raw materials. This gives you a data-driven edge in supplier negotiations, letting you challenge 'unavoidable' increases with hard facts.

Intelligent Supplier Discovery

Finding new suppliers can be a massive research project. Our AI platforms scan the globe for potential new partners that meet your specific criteria – think certifications, diversity status, or location. It also screens them against financial health and compliance databases, giving you a comprehensive shortlist much faster.

AI-Assisted Contract Review

Legal reviews can be slow. Our AI tools perform an initial review of supplier contracts, instantly identifying risky or non-standard clauses and suggesting alternative language from our pre-approved legal playbook. It won't replace Legal, but it'll speed up the first pass significantly, saving everyone time.
