3What this role really is

An ESG data assistant collects and organises the raw data used in environmental, social and governance reports. This work involves gathering figures, checking them against sources, and keeping records in order so that sustainability reports can be built on solid ground.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

Cleaning messy supplier data, consolidating utility bills, creating simple summaries and pivot tables for internal review. You'll live in Excel, honestly.

ESG Data Platforms (MSCI ESG Research, Sustainalytics, EcoVadis) Intermediate

Pulling existing reports, entering collected data into predefined fields, basic navigation within the platforms. You'll become familiar with how these platforms work.

Reporting & GRC Platforms (Workiva Wdesk or OneTrust ESG) Basic

Data entry and validation following pre-built templates for data collection. You'll learn the specific workflows of our chosen platform.

Microsoft Power BI/Tableau Intermediate

Updating existing dashboards with new data, creating basic charts for internal presentations. You'll help keep our visualisations fresh.

MS Teams/Slack Intermediate

Sharing files, communicating with data providers in shared channels, general team communication. It's how we stay connected and get things done.

ERP/HRIS Systems (e.g., SAP S/4HANA, Oracle HCM) Basic

Viewing and exporting pre-defined reports for employee data, DE&I metrics, or operational site data. You'll learn how to navigate these systems to get the data you need.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Data Entry & Validation Executes specific data entry tasks as instructed. Flags any anomalies or unclear data points to their manager for guidance and resolution. Independently validates datasets against established rules. Proposes solutions for minor inconsistencies and implements them after manager approval. Designs and implements new data validation rules and processes. Mentors junior team members on best practices and complex validation scenarios.
Tool/Software Usage Uses specified software (e.g., Excel, Workiva) as instructed to complete assigned tasks. Asks for help when encountering new features or issues. Selects appropriate functions within tools for routine tasks. Can troubleshoot common software issues and adapt to minor updates. Evaluates and recommends new features or minor tools to improve efficiency. Trains team members on effective tool usage and new functionalities.
Stakeholder Communication Responds to direct data requests from immediate team members. Escalates complex queries or requests for new data types to their manager. Communicates directly with internal data providers for routine follow-ups and clarifications. Can explain basic data requirements clearly. Leads discussions with key internal data owners to improve data quality and collection processes. Can negotiate data delivery timelines and formats.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Data Entry Accuracy
The percentage of data points you enter that are free from errors.
Target · >99.5% accuracy

Out of 1,000 data points entered for Scope 1 emissions, you'll have no more than 5 errors. We'll regularly review your work to ensure this.

On-Time Data Collection
The proportion of assigned data points you collect by their internal deadlines.
Target · 95% of data points collected on time

All 50 supplier energy bills for Q1 are logged and ready for review by the deadline, or you've clearly flagged any unavoidable delays.

Query Resolution Time
How quickly you acknowledge and resolve internal data queries from your team.
Target · Acknowledge and resolve within 48 hours

If the Senior Analyst asks about a water usage figure, you'll respond with the source document or a clear explanation within 24 hours, even if it's just to say you're looking into it.

Data Traceability
Your ability to easily show the original source for any data point you've entered or processed.
  • You can quickly pull up the original invoice, email, or system report for any number questioned. Your documentation is clear enough that someone else could trace the data's journey without your help.
Documentation Quality
The clarity and completeness of your notes, records, and process documentation.
  • Your documentation for collecting waste data is so good that a new team member could follow it step-by-step. It's not just for you, it's for everyone who comes after.
Proactive Problem Spotting
Your initiative in flagging potential data issues, inconsistencies, or unusual trends before being asked.
  • You notice a sudden, unexplained drop in a utility bill and question its accuracy, rather than just entering it. You highlight a discrepancy between two different reports without prompting.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Making a tangible difference

You'll see your work directly contribute to our sustainability reports and help us track our environmental impact. You'll be collecting the actual numbers that show if we're reducing our carbon footprint.

Knowing that the energy data you collected is now part of our public emissions target, and that target is being met, gives you a real sense of accomplishment.

Learning about complex systems

You're keen to understand how a large organisation collects and manages data across different departments, from HR to Finance. You'll be digging into various systems to pull out specific data points.

Figuring out how to extract employee travel data from our expense system for the first time, and understanding the logic behind it, will be genuinely satisfying for you.

Building a strong foundation

You enjoy the satisfaction of getting the basics right and ensuring data integrity from the ground up. You'll spend time cleaning messy spreadsheets and validating figures, knowing it's crucial for everything else that follows.

Successfully reconciling a discrepancy in water usage data between two different sites, and knowing that figure is now solid, will be a small win that matters a lot.

What frustrates people
  • Inheriting a labyrinth of interconnected Excel files with broken links and no documentation, which holds the entire company's historical ESG data.
  • Constantly chasing down busy operational managers and suppliers who view your data requests as a bureaucratic annoyance and a low priority.
  • The 'Garbage In, Gospel Out' problem: spending 80% of your time cleaning messy, inconsistent, and incomplete data from hundreds of sources, only to have the final, heavily-caveated numbers presented as absolute fact in the annual report.
What this role does not give you
  • High-level strategic decision-making – that comes later, once you've mastered the data.
  • Direct influence on company policy or external communications – your role is to provide the accurate data for others to use.
  • A role where every piece of your work is immediately visible and celebrated externally; much of your work is behind the scenes, foundational, but essential.

8Who you work with

Your meticulous work directly underpins the accuracy and credibility of our public sustainability reports, investor disclosures, and internal decision-making. Get the data wrong, and we risk reputational damage or poor strategic choices. Get it right, and we build trust and make genuine progress on our ESG goals. It's foundational, honestly.

Inside the business
  • Your immediate ESG Data team (Analysts, Senior Analysts)
  • Finance (for utility bills, operational costs)
  • HR (for employee diversity, training data)
  • Operations (for waste figures, energy consumption at sites)
  • Procurement (for supplier data, supply chain emissions)
Outside the business
  • ESG Data Platform providers (e.g., Workiva, OneTrust)
  • External data providers (e.g., utility companies, waste management firms)

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • Proven experience working with large datasets, even if it's just in Excel, where accuracy was paramount.
  • A demonstrated ability to be meticulous and catch errors, with a keen eye for detail.
  • A genuine interest in sustainability and how businesses impact it, and a desire to learn more.
  • Or equivalent experience where you've shown you can handle detailed, accurate data work in a professional setting.

10What to practise next

Where the job is going, and what to do about it starting this week.

Basic Python for Data Cleaning & Automation

Manual data cleaning in Excel is slow and prone to errors, especially with large datasets. Python (with libraries like pandas) will become essential for automating repetitive tasks and handling larger, messier datasets much more efficiently.

Data Structures (DataFrames) · Basic Scripting · Data Cleaning Functions

  • This week: Look up free online Python tutorials for beginners (e.g., Codecademy, DataCamp, freeCodeCamp). Just start with the very basics.
  • This month: Start with a simple project, like automating a small part of your current Excel cleaning process using Python. Even a tiny script is a start.
  • Month 2: Learn the basics of the pandas library, which is the workhorse for data manipulation in Python. There are plenty of free resources.
  • Month 3: Try to clean a small, messy dataset using Python, focusing on one specific data quality issue you often encounter.

Quick win: Install Anaconda or VS Code and write your first 'Hello World!' script. Just get started; the first step is always the hardest.

11Staying current once you are in

What people here do to keep up
  • Attending webinars on new ESG regulations and reporting standards to stay current.
  • Joining industry forums (online or in-person) to network and learn from peers.
  • Regularly reading sustainability reports from other companies to see best practices and different approaches.
  • Taking online courses in Excel mastery or introductory Python for data analysis.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how ESG Data Assistant is actually changing.

Working with AI on the job

Working with AI

Where AI is starting to help

Imagine spending less time on repetitive data entry and more time on the interesting bits of ESG analysis. AI isn't here to replace you; it's here to make your job quicker, smarter, and honestly, a lot less tedious. We're embracing these tools to make our team more effective.

In the world of ESG data, you're constantly sifting through documents, comparing reports, and trying to make sense of complex regulations. AI tools can take a huge chunk of that manual grind off your plate, freeing you up to focus on the actual insights, validation, and problem-solving that humans are best at.

Automated Data Extraction

Use AI tools (like Microsoft Syntex or custom scripts) to automatically scan and pull key data points (e.g., kWh, gallons, metric tons) from thousands of unstructured supplier PDFs, utility bills, and invoices. Think of it as having a super-fast, tireless assistant for document review, reducing hours of manual input.

Competitor Analysis Accelerator

Feed the sustainability reports of our rivals into an AI assistant. It'll quickly summarise their stated goals, key initiatives, and data disclosures for specific topics like water management or human rights, giving you a massive head start on benchmarking and understanding the market.

Regulatory Summariser

When a new, dense regulation like the CSRD gets updated, use an AI model to summarise the key changes, identify new disclosure requirements, and compare them against our current reporting. No more slogging through hundreds of pages of legalese just to find the critical updates.

First-Draft Narrative Generator

Once you've got your validated data, feed it, along with key themes and last year's report, into a generative AI. It can create a first draft of the narrative for a specific section of the annual sustainability report, which you then refine with your expertise and human touch.
