3What this role really is

An ESG associate collects and checks the data behind a company's sustainability reporting. The work involves gathering figures, checking they add up, and supporting reporting tasks across the team.

4What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

You'll be using VLOOKUP/XLOOKUP, PivotTables, and complex formulas daily for data cleaning, basic analysis, and organising large datasets. You'll be building and maintaining spreadsheets that are easy for others to understand.

Workiva Intermediate

You'll be linking data from Excel into Workiva, managing evidence, and completing reporting templates within established workflows. You'll navigate the platform to find and input information.

OneTrust ESG Cloud Intermediate

You'll be launching pre-configured data collection surveys, tracking completion status, and extracting basic reports for the team. You'll understand how to use the platform for routine data gathering.

ESG Rating Platforms (Sustainalytics, MSCI, EcoVadis) Basic

You'll be able to navigate these portals to download reports, find specific data requests, and understand where our company's information is displayed. You won't be submitting data directly, but you'll know where to look.

Tableau / Power BI Intermediate

You'll be connecting to clean data sources and building standard dashboards from existing templates. You might make minor edits to existing visualisations or help pull specific data for a new chart.

LCA Software (SimaPro, GaBi) Basic

You might input data into pre-built models to help calculate the environmental impact of a single product or process. You'll understand the basic concept of a Life Cycle Assessment.

5What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing in Where you are nowThe step above
Data Validation & Error Correction Escalate all suspected data errors or missing information to your ESG Specialist for review and guidance. Identify and correct routine data errors within established guidelines; escalate novel or complex discrepancies to your manager. Independently resolve complex data validation issues, define new validation rules, and make recommendations on data governance improvements.
Reporting Content & Narrative Populate pre-defined templates with data; do not draft narrative sections without direct instruction and review. Draft sections of reports based on established guidelines and data; seek manager approval for all narrative content. Design and author significant sections of reports, ensuring alignment with frameworks; review junior team members' contributions.
Stakeholder Communication Communicate internally for data requests following templates; escalate any external queries to your manager. Independently manage routine data requests with internal stakeholders; draft responses to basic external queries for manager approval. Lead communication with key internal and external stakeholders on specific ESG topics; represent the team in cross-functional meetings.

6How you'll be judged

The scoreboard, and what is not on it. The hard targets, how often each is actually looked at, and the quiet signals that never reach a dashboard.

Data Accuracy
The percentage of data points you've collected or entered that are free from errors.
Target · >99%

If you input 1,000 data points for our GHG inventory, we'd expect fewer than 10 to have a mistake that needs fixing.

Deadline Adherence
Completing your assigned data collection and reporting tasks by the agreed-upon dates.
Target · 100%

If the Q1 energy data needs to be in by 15 April, you'll have it ready (and checked!) by then.

Error Rate on Initial Submissions
How often your initial data submissions or report sections need significant rework due to errors or missing information.
Target · <2% requiring rework

You submit a draft section for the annual report, and your manager only finds a couple of minor typos, not major data inconsistencies.

Proactiveness in Learning
Your willingness to ask questions, seek out information, and try to understand the 'why' behind your tasks.
  • You're asking 'Why do we collect this data?' or 'How does this fit into the bigger picture?' You'll take notes during training and refer back to them. You'll also suggest small improvements to your own workflow, even if they're not revolutionary.
Clarity of Documentation
How well you document your work, so others can understand what you've done and why.
  • Your data sources are clearly labelled. Any assumptions you've made are written down. Someone else could pick up your work and follow your steps without needing to ask you a dozen questions. This includes keeping our internal wiki updated.
Team Support & Collaboration
Your ability to work effectively with your immediate team and others you interact with.
  • You respond quickly to requests from your manager or colleagues. You offer to help out when you have capacity. You're generally seen as someone easy to work with and reliable for basic tasks.

7Would you like it

Both sides. What people enjoy, and what grinds them down.

What people enjoy
Making a Tangible Contribution

You'll get satisfaction from knowing that the accurate data you've collected is directly feeding into a major report or a strategic decision. Even if it's a small piece of the puzzle, you'll see its importance.

Seeing your numbers appear in the final annual report or knowing your data helped the team answer an investor query.

Continuous Learning & Development

You'll thrive on the constant flow of new information, regulations, and methodologies in the ESG space. You'll enjoy the challenge of figuring out new tools and processes.

Mastering a new function in Excel or understanding how Scope 3 emissions are calculated for the first time.

Working Towards a Positive Impact

You'll be motivated by the knowledge that your work, however small, is contributing to the company's broader sustainability goals and helping to address global challenges.

Knowing that your accurate energy data helps us track progress towards our Net Zero target.

What frustrates people
  • The Data Scavenger Hunt: Expect to spend a fair bit of time chasing, cleaning, and validating data from dozens of sources. You're part detective, part data janitor, and part professional nag.
  • Repetitive Tasks: There's a lot of data entry, checking, and re-checking. It's essential, but it can feel a bit monotonous at times.
  • Influence Without Authority (even at this level): You'll need to ask other departments for data, and they might not always prioritise your requests. You'll need patience.
  • The 'Make it Sound Good' Squeeze (indirectly): You might see your accurate data get spun a bit by other teams for external comms, and you'll need to learn to navigate that tension.
What this role does not give you
  • High-level strategic decision-making – that comes later.
  • A constant stream of novel, complex problems – many tasks are routine.
  • Direct management of people or large budgets.
  • Immediate, visible impact on company-wide policy.

8Who you work with

Your accurate data input directly supports the integrity of our annual sustainability reports and external ESG ratings. Get it right, and we build trust; get it wrong, and we could face reputational damage or investor scrutiny. You're laying the groundwork for all our strategic ESG decisions, even if you don't see the big picture every day.

Inside the business
  • ESG Specialist and Senior ESG Specialist (your direct team)
  • Finance team (for energy bills, operational costs)
  • Operations team (for waste data, water usage)
  • HR team (for diversity metrics, employee training data)
Outside the business
  • Utility providers (for data requests)
  • Waste management companies (for recycling data)

9What you need before you start

Not a wish list. The things you would be expected to already have.

  • Proven ability to manage and organise data accurately, perhaps from a previous role, internship, or academic project.
  • Strong numerical skills and a genuine comfort with spreadsheets and data manipulation.
  • Excellent written and verbal communication skills, especially for clear data requests and documentation.
  • A demonstrable interest in sustainability and ESG issues, perhaps through studies, volunteer work, or personal projects.
  • The ability to follow instructions precisely and to ask for help when you're stuck, rather than guessing.

10What to practise next

Where the job is going, and what to do about it starting this week.

Advanced Excel & Data Modelling

While you're already strong in Excel, the complexity of ESG data means you'll need to build more robust, auditable data models. This will allow you to handle larger datasets and more intricate calculations, making your work faster and less prone to manual errors.

Power Query · Data Validation & Controls · Scenario Modelling

  • This quarter: Take an online course on Power Query for Excel.
  • Next quarter: Start building a small, self-contained data model for a specific ESG metric, incorporating validation rules.
  • Month 6: Look for opportunities to automate small, repetitive tasks in Excel using basic VBA macros (even if just recording them).
  • Ongoing: Regularly review and simplify your own spreadsheets for efficiency and clarity.

Quick win: Start using Excel's 'Text to Columns' and 'Remove Duplicates' features more effectively today. They're simple but powerful.

Data Visualisation Storytelling

It's not enough to just collect data; you need to present it in a way that's clear, engaging, and helps people make decisions. As you progress, you'll be asked to turn raw numbers into compelling visual stories.

Choosing the Right Chart · Dashboard Design Principles · Audience-Centric Visuals

  • This quarter: Take an introductory course on Tableau or Power BI if you haven't already.
  • Next quarter: Practice building a simple dashboard from scratch using some of our internal ESG data.
  • Month 6: Look for opportunities to present your data visually in team meetings, even if it's just a few slides.
  • Ongoing: Pay attention to good (and bad) data visualisations you see in reports and news, and think about why they work (or don't).

Quick win: Next time you make a chart in Excel, try a different chart type than your usual default. Experiment with colours and labels.

11Staying current once you are in

What people here do to keep up
  • Attend webinars and online courses on new ESG regulations (like CSRD) or specific reporting frameworks.
  • Join professional networking groups or online communities focused on sustainability or ESG data.
  • Read industry publications and thought leadership pieces to stay current on trends.
  • Seek out opportunities for internal training on our specific reporting tools and systems.
  • Present a small piece of your work or a learning insight to the team once a quarter to practice communication.

The long view: This role lays the groundwork for ESG work. It can lead to a senior ESG specialist or lead strategist role, taking on bigger reporting projects and regulatory work.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how ESG Associate is actually changing.

ESG Associate is a start, not a ceiling. Each step below asks for new skills and hands back more autonomy.

  1. ESG Specialist (Level 2)

After 2-3 years as an ESG Associate

You'll move from executing tasks to owning specific data processes or reporting cycles end-to-end. You'll have more autonomy and be the go-to person for certain data domains.

    • Basic Data Visualisation Design Creating simple dashboards to present key ESG metrics.
Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of ESG work involves digging through documents and crunching numbers. But what if you could cut down on the tedious bits and focus on the interesting stuff? Our team is leaning into AI to do just that.

You'll be working with tools that use AI to automate some of the more repetitive parts of your job. This isn't about replacing you; it's about making your work smarter, faster, and frankly, a bit less boring. You'll still be the brains, but the AI will be your super-efficient assistant.

Automated Data Extraction

Imagine not having to manually type out every number from a utility bill or a supplier report. We use AI to scan these documents, pull out the key ESG data points (like energy consumption or water usage), and drop them straight into your spreadsheets. It's a massive time-saver for those initial data collection tasks.

Basic Regulatory Research

New sustainability regulations pop up all the time. Instead of sifting through hundreds of pages, you'll use AI tools that can quickly summarise key changes or highlight specific clauses relevant to our business. It helps you get up to speed much faster on what's coming down the line.

Drafting Support for Reports

When you're populating report templates, AI can help you draft initial sentences or summaries based on the data you've entered. It's like having a writing assistant that understands ESG language, helping you get those first drafts done quicker, so you can focus on accuracy and review.

Data Anomaly Detection

Sometimes a number just looks 'wrong'. AI tools can help by flagging unusual data points in large datasets – for example, a sudden spike in waste generation that doesn't make sense. It gives you a head start on where to investigate, making your data checking more efficient.
