1What this role really is

This isn't a glamorous legal role, but it's absolutely crucial. You'll be the person making sure all the paperwork is in order, that contracts get signed on time, and that we keep a tidy record of everything. Think of yourself as the engine room of our contract process—without you, things just grind to a halt. You'll learn the ropes of contract management from the ground up, getting stuck into the nitty-gritty details that keep our business safe and compliant.

2What you'd actually use

The tools this job runs on, and how well you'd need to know each one.

MS Word (Track Changes, Basic Formatting)Intermediate

You'll use Word constantly for reviewing documents, accepting/rejecting tracked changes, and ensuring basic formatting is consistent. You'll need to know how to compare documents.

MS Excel (Data Entry, Simple Filters)Basic

You'll use Excel for entering contract data into trackers, sorting lists, and occasionally using simple filters to find information. No complex formulas needed yet.

DocuSign / Adobe SignBasic

Your main task here will be preparing documents for signature, sending them out, and monitoring their status. You'll become very familiar with the user interface.

Ironclad / Agiloft (CLM System)Basic

This is where you'll upload executed contracts, enter metadata, and run pre-built reports. You'll learn the basic workflow and how to navigate the system.

iManage / NetDocuments (DMS System)Basic

You'll use this for saving and retrieving all contract-related documents, ensuring they're in the right place and correctly versioned.

MS Teams / SlackIntermediate

You'll use these for internal communication, sharing documents, and getting quick answers to contract queries from colleagues.

3What you get to decide, and how that grows

Power in a job isn't your title. It's what you're allowed to decide. Here's how it grows as you move up.

The choiceComing inWhere you are nowThe step above
Contract Clause DeviationEscalate immediately to your manager or Legal Counsel if you spot any clause that doesn't match our standard template or playbook. You'd identify the deviation, propose a solution from the playbook, and get manager approval before proceeding. You'd approve minor deviations within your authority, or propose and negotiate fallback positions with business input, only escalating significant risks.
Contract PrioritisationFollow the prioritisation guidelines given by your manager. If two 'urgent' requests come in, you'd ask your manager which one to tackle first. You'd use established criteria to prioritise your own workload, escalating only if there's a conflict or an exceptionally high-value/urgent request. You'd set prioritisation for your workstream, balancing business needs with legal risk, and make calls on resource allocation.
Document Filing & NamingYou'll follow the exact naming conventions and folder structures provided. No improvisation here! You'd ensure adherence to naming conventions and might propose minor improvements to folder structures for team efficiency. You'd define and update the document management and naming conventions for consistency across the team.

4How you'll be judged

The scoreboard, honestly: the hard targets, how often each one is actually looked at, and the quiet human signals that never make it onto a dashboard.

Contract Intake Processing Time
This is about how quickly you can take a new contract request from a business team and get it into our system, ready for review or signature.
Target · Less than 24 hours from submission to initial processing.

If Sales sends a contract request at 10 AM on Monday, you'd aim to have it logged and routed by 10 AM on Tuesday at the latest. We track this in our CLM system.

CLM Data Accuracy
When you upload a new contract or enter its details into our Contract Lifecycle Management (CLM) system, we need those details to be spot on. Things like party names, dates, and contract types.
Target · Greater than 98% accuracy on metadata entry for all new contracts.

Out of 50 new contracts processed in a month, you'd have no more than one or two minor errors in data entry. A mistake could be a wrong renewal date or an incorrect contract value.

NDA Turnaround Time
Non-Disclosure Agreements (NDAs) are pretty standard, and we need to get them signed quickly so business discussions can start. This measures how fast you can get an NDA from request to full execution.
Target · Average of less than 48 hours from receipt of request to full execution.

If we get 10 NDA requests in a week, and they're all signed within 30-40 hours, you're hitting this target. This includes getting signatures from both sides.

Executed Document Filing Rate
Once a contract is signed, it needs to be filed correctly in our Document Management System (DMS) or CLM. This means the right folder, correct naming convention, and all attachments included.
Target · 100% of executed documents filed within 1 business day of signature.

If 15 contracts were signed on Tuesday, all 15 should be correctly filed by Wednesday afternoon. Missing one means someone later can't find it, which is a big problem.

Adherence to Process
We've got established ways of doing things for a reason—they keep us compliant and efficient. This means following those steps for every contract task.
  • You consistently use the correct templates, follow the specified routing for approvals, and stick to our document naming conventions. Your manager won't need to remind you about standard procedures, and audits show consistent compliance.
Learning & Development
This is an entry-level role, so we expect you to be a sponge! Actively seeking feedback, asking questions, and showing you're picking things up is key.
  • You ask clarifying questions rather than making assumptions, you take notes during training, and you apply feedback from your manager. You'll also complete any assigned online learning modules or internal training programmes.
Communication Clarity
When you're updating a business team or your manager, we need you to be clear and concise. No jargon, just the facts.
  • Your emails are easy to understand, you provide clear status updates on contract requests, and you can explain simple processes to others without confusion. You'll proactively let people know if there's a delay, rather than waiting to be chased.
Organisation & Prioritisation
You'll have multiple requests coming in, so keeping your tasks organised and knowing what to work on first is super important.
  • You manage your inbox effectively, use our task management tools to keep track of your workload, and can explain why you chose to work on one task over another when asked. You'll rarely miss a deadline because you simply 'forgot' about a request.

5Would you like it

The honest version. What people enjoy, and what grinds them down.

What people enjoy
Getting Things Organised

You genuinely enjoy taking a messy pile of documents or an unclear request and turning it into something structured, clear, and filed away perfectly. The satisfaction of a tidy inbox or a perfectly updated system really motivates you.

You'll spend time making sure every field in the CLM is correctly populated for a new contract, not just the mandatory ones, because you know it helps with future reporting.

Learning New Things

You're eager to understand how contracts work, what different clauses mean, and how the legal department supports the business. You'll ask questions and actively seek out opportunities to expand your knowledge.

When you encounter a new type of contract, you'll ask your manager about its purpose and key terms, rather than just treating it as another document to process.

Being a Reliable Team Member

You get a real kick out of knowing that your colleagues can depend on you for accurate, timely support. You're happy to do the crucial groundwork that allows others to focus on higher-level tasks.

You'll proactively check if any signed contracts need filing or if there are outstanding e-signature requests, even if not directly asked, to keep the process moving.

What frustrates people
  • The 4:59 PM Quarter-End Ambush: Getting a complex contract from a frantic sales rep who needs it signed 'in the next five minutes' to make their quota, forcing you to rush or be blamed for a lost deal.
  • The Rogue Template User: Business teams constantly using outdated contract templates they saved to their desktops, forcing you to re-do their work and explain why their 'minor change' violates new regulations.
  • The Signature Chase: Your work is done, the deal is agreed, but the contract sits for two weeks waiting for an executive's signature, and you get blamed for the delay.
  • CLM as Shelfware: The expensive, 'transformative' CLM system is barely used by the business, turning you into a glorified data entry clerk responsible for cleaning up messy records.
What this role does not give you
  • High-level strategic decision-making in the short term.
  • Constant novelty or a completely unpredictable daily routine.
  • Direct negotiation with external parties (that comes later).
  • A role where you're always in the spotlight.

6Who you work with

Your work, while often behind the scenes, directly impacts how quickly and compliantly our business can operate. Get it right, and deals flow. Get it wrong, and we're looking at delays, potential missed revenue, and sometimes even legal exposure. You're essentially the first line of defence against administrative chaos in our contract process.

Inside the business
  • Sales Teams (they're always keen to get contracts signed quickly)
  • Procurement (for vendor agreements and making sure we get what we pay for)
  • Legal Counsel (you'll help them with the admin side of their work)
  • Finance Department (they need accurate contract info for budgeting and payments)
Outside the business
  • Vendors (you'll handle their contracts)
  • Clients (indirectly, by ensuring their agreements are correctly processed)
  • eSignature Platform Providers (you'll often deal with their support for issues)

7What you need before you start

Not a wish list. The things you would be expected to already have.

  • A keen eye for detail – you genuinely enjoy spotting errors and making things perfect.
  • Strong organisational skills – you like things neat, tidy, and in their proper place.
  • Good written and verbal communication skills – you can explain things clearly and concisely.
  • Proficiency with Microsoft Office Suite (especially Word and Excel) – you're comfortable with basic functions.
  • A genuine interest in how legal processes support a business – you want to learn the ropes.
  • Ability to work effectively in a team – you're a good colleague and happy to help out.

8What to practise next

Where the job is going, and what to do about it starting this week.

CLM System Configuration & Reporting

As you become more familiar with our CLM, you'll move beyond just data entry. You'll need to understand how to configure basic workflows, build custom reports to track specific metrics (like contract expiry dates), and even help onboard new users to the system.

Workflow Automation · Custom Report Building · User Permissions · Integration Points

  • This week: Ask your manager to show you how they run a standard report in the CLM. Try to replicate it.
  • This month: Explore the CLM's admin settings (if you have access) to see how workflows are set up, even if you can't change them.
  • Next quarter: Volunteer to help train a new business user on the CLM. Teaching is a great way to learn.
  • Within 6 months: Identify one manual report you currently do and figure out if it could be automated or partially automated using the CLM's reporting features.

Quick win: Familiarise yourself with all the current reporting capabilities of our CLM. What reports do we already have? What data can they show you?

Advanced MS Word for Legal Documents

Legal documents are complex. Mastering Word's advanced features will save you huge amounts of time and ensure professional, consistent formatting. This goes beyond just track changes.

Styles & Templates · Cross-referencing & Numbering · Table of Contents & Figures · Document Comparison Tools

  • This week: Watch a few YouTube tutorials on 'MS Word Styles for Legal Documents'.
  • This month: Practice creating a multi-level numbered list and cross-referencing clauses in a dummy document.
  • Next quarter: Take an online course on advanced Word features. It sounds dull, but it's incredibly useful.
  • Within 6 months: Offer to help a colleague with a complex formatting task, applying your new skills.

Quick win: Start using 'Styles' for headings in all your internal documents today. It's a small change with a big impact on consistency.

9Staying current once you are in

What people here do to keep up
  • Attend internal Legal department training sessions on contract types, company policies, and system usage.
  • Shadow more experienced Contract Management Specialists to see how they handle different situations and complex tasks.
  • Take online courses on contract law fundamentals or legal administration to deepen your theoretical knowledge.
  • Participate in webinars or industry events focused on legal technology and contract management trends (we'll cover the cost).
  • Seek feedback regularly from your manager and colleagues to identify areas for improvement and growth.

Pay & demand

The figure is the median for full-time employees in the ONS occupation this job title codes to (Business associate professionals n.e.c.), from the April 2025 survey — about six months old when published, as ASHE always is. It is that occupation's middle, not this role's. Half earn more.

The ten Future Fluencies

Zavmo analysis

The credential is what you can do today. These are what keep you valuable.

A qualification proves you can do the job as it's defined today. These ten are what decide whether you're still the obvious person for it in five years. They're the capabilities employers are now writing into senior roles faster than people are learning them. Zavmo weaves them through whatever you study, so you come out with both: the credential and the fluency.

The highlighted ones are the Fluencies your role leans on hardest, from how Contract Coordinator is actually changing. In about two minutes, the free confidence check asks where you stand on each of the ten. That's the whole check, and it's what makes the plan yours rather than generic.

12The team that's yours

No two people are taught the same way. This is one-to-one, not one-to-many.

Zavmo is a hyper-personalised AI learning platform. Twelve virtual tutors, each with a different way of teaching, and one orchestration agent that picks the right one for the moment. So every single lesson is shaped around you, your role, and the way you learn. Not a course everyone sits through. A conversation built for you, and no one else.

…and nine more, matched to you after your first chat. Meet all twelve

13What it feels like

A conversation, not a course

Because your tutor knows your role, your projects and your last session, learning sounds like this. And it's different for every single person:

Providing legal advice to clientsLevel 3

One to one, not one to many

No two people run this the same way

A course is written once and handed to everyone. This is assembled around you, and keeps changing as it learns you. Five things it reads, and what each one changes.

  1. Your actual work Every lesson is taught against a live piece of your own work, not a worked example from a textbook.
  2. What you already know The first conversation finds your starting point, so you skip what you can already do and spend the time on what you cannot.
  3. The conditions you learn under Not a learning-styles quiz. The evidence does not support those. The dimensions the research does back, read once and used to shape the plan.
  4. How far you got last time It picks up mid-thought. The tutor knows what you said, what you struggled with, and what it asked you to try.
  5. Which tutor suits the moment Twelve of them, each for a different kind of thinking. The one who walks you through a first idea is not the one who stress-tests it.

See how you learn, free. Eight questions, no sign-up. A directional taster; the diagnostic inside Zavmo goes deeper and keeps adapting.

Where it leads

The career path, and where it branches

Contract Coordinator is a start, not a ceiling. Each step below asks for new skills and hands back more autonomy.

  1. Contract Management Specialist (L2)

2-3 years in the Contract Coordinator role

You'll move from executing specific tasks to owning the lifecycle of standard, low-risk contracts. You'll start conducting initial reviews and proposing solutions from our playbook.

    • Initial Contract Review (against playbook): Independently reviewing standard agreements like NDAs.
    • Basic Negotiation Strategy: Understanding 'must-have' vs. 'nice-to-have' terms for simple agreements.
    • CLM Workflow Configuration (basic): Making minor adjustments to existing CLM workflows.
    • Legal Research (basic): Using tools like Westlaw or LexisNexis to find specific statutes or case law.
Working with AI on the job

Working with AI

Where AI is starting to help

Let's be real, a lot of contract admin can be a bit repetitive. But what if you could cut down on the tedious stuff and focus on learning the interesting legal bits? That's where AI comes in. We're building an AI Productivity Hub to help our Legal team, and especially our Contract Coordinators, work smarter, not harder.

For a Contract Coordinator, AI isn't about replacing your job; it's about making your job easier and more efficient. Think of it as having a super-fast, super-accurate assistant that can handle the grunt work, freeing you up to learn more, take on more responsibility, and actually understand the 'why' behind the contracts you're processing.

Automated Intake & Triage

Imagine an AI tool that automatically reads inbound contract requests, extracts key details like parties, dates, and contract value, and then populates our CLM system for you. It can even flag if a request is missing crucial information, so you don't have to manually chase it down. This means less data entry and more time for actual review.

Accelerated Initial Review

AI-powered analysis tools can take a third-party contract and instantly highlight missing clauses, problematic language, or terms that deviate from our approved playbook. For you, this means a quicker initial scan to identify what needs a closer look, helping you flag issues for your manager much faster than doing it all manually.

Obligation & Summary Generation

After a contract is signed, AI can scan the document and automatically generate a summary of key business terms for stakeholders. It can also extract all critical dates and obligations (like renewal dates or delivery milestones) for direct import into our CLM. This automates the tedious post-signature abstraction process, reducing human error and saving you hours.

First-Draft Assistance

Using Generative AI, you could input key business terms for a simple agreement (like an NDA or a basic SOW), and the AI could generate a complete first draft based on our approved company template. This cuts down the initial drafting time significantly, letting you focus on checking for accuracy and learning the nuances of the clauses.

The honest bit

You’ve started things before

Most of them were built for a room full of people who aren’t you. A cohort moves on whether or not your week allowed it, and by the third week the thing you’re behind on becomes the reason you stop opening it.

There’s no cohort here, and no timetable to fall behind. Before anything starts, Zavmo asks when you’re sharpest and how long you can realistically sit down for, then builds the sessions around those answers. A bad fortnight changes your pace. It doesn’t put you behind.

And you only pay once you start learning. Searching and planning are free, and you can cancel any time — so the cost of finding out is an afternoon, not a year.

What it costs

Less than one coaching session. Every month.

A single career-coaching hour costs more than a month of this, and it ends when the hour does. Zavmo doesn't. It's £70 a month, about £2.30 a day, for a companion that knows a Contract Coordinator, works on the job you actually do, and keeps going at your pace rather than a timetable's.
