Missing one or two is okay, but consistently missing them will be a problem.
Finding Documentation Accuracy
This is about making sure the evidence you link to audit findings in our system is correct and complete. It's crucial for defensibility.
Target · <5% error rate on evidence linkage in audit reports.If you're processing 100 audit findings in a quarter, you should have no more than five instances where the linked evidence is incorrect, missing, or points to the wrong document. We'll spot-check this, so attention to detail is key.
CAPA Follow-up Rate
You'll be tracking Corrective and Preventive Actions (CAPAs) and making sure sites are responding. This metric checks how quickly you follow up when a CAPA is due.
Target · 100% of assigned CAPAs followed up on within 48 hours of due date.If a site has a CAPA due on Monday, you need to have sent a reminder or checked its status in the system by Wednesday afternoon at the latest. We really can't let these things slip.
Audit Report Drafting Support
How accurately and quickly you can pull together initial drafts or sections of audit reports based on auditor notes and templates.
Target · 90% of draft report sections completed within 24 hours of receiving notes.An auditor sends you their raw notes and findings from a site visit on a Tuesday. You'd need to have a structured draft of the relevant sections (e.g., executive summary, key findings list) back to them by Wednesday afternoon. This really helps speed up the entire process.
Proactive Support & Anticipation
You're not just waiting for instructions; you're thinking ahead. This means anticipating what an auditor might need next or spotting a potential scheduling conflict before it becomes a problem.
- You'll be proactively suggesting improvements to our scheduling process, flagging potential issues with document collection before an auditor asks, and getting things ready before being explicitly told. Your Senior Auditor will say things like, 'They always seem to be one step ahead.'
Stakeholder Communication Clarity
This is about how clearly and professionally you communicate with site teams and auditors, especially when chasing information or coordinating schedules. No room for ambiguity here.
- Emails and messages are always easy to understand, requests are clear, and you get fewer follow-up questions asking for clarification. Site EHS Managers will comment on how easy you are to work with, and auditors won't have to re-explain things you've communicated.
Learning & Development Engagement
We want to see you actively engaging with the learning opportunities available, asking questions, and showing a genuine interest in understanding the 'why' behind the tasks.
- You'll be asking thoughtful questions during weekly check-ins, taking notes, and actively seeking feedback. You might even complete some recommended online training modules or read up on relevant regulations in your own time. Your Senior Auditor will notice your eagerness to learn.
