Role Purpose & Context

Role Summary

The Sustainability & EHS Coordinator is here to make sure our environmental, health, and safety data is spot on. Day-to-day, you'll be gathering information from our sites, entering it into our systems, and helping to prep reports. You'll sit right at the heart of our Compliance, Quality, Health, and Safety team, making sure the raw numbers are ready for the more senior folks to analyse and act on. When you do this well, our external reports are accurate, and we avoid embarrassing mistakes with regulators or investors. If the data's messy or late, it can really slow down important decisions and even cost us money or reputation. Honestly, the challenge here is getting comfortable with the sheer volume of data and the nitty-gritty details of compliance. The reward, though? You'll learn the ropes of corporate sustainability from the ground up and see your work directly contribute to our company being more responsible.

Organisational Impact

Scope: Your accurate and timely data entry directly supports our compliance with environmental regulations and helps us report our sustainability performance to the outside world. Get it right, and we look good and stay out of trouble. Get it wrong, and we could face fines or damage our reputation. It's foundational work, but it's super important.

Performance Metrics

Quantitative Metrics

  1. Metric: Data Entry Accuracy
  2. Desc: Percentage of data entries without errors in our EHS and ESG platforms.
  3. Target: Less than 2% error rate per quarter.
  4. Freq: Quarterly audits of selected data sets.
  5. Example: If you enter 500 data points, we'd expect no more than 10 errors. Catching that a site reported 500kWh instead of 5,000kWh is a big win.
  6. Metric: Timely Data Submissions
  7. Desc: Percentage of required site-level data collected and entered by internal deadlines.
  8. Target: 100% of monthly site reports submitted on time.
  9. Freq: Monthly tracking against internal deadlines.
  10. Example: All 30 site energy reports are in the system by the 5th working day of the month, ready for the analyst to use.
  11. Metric: Data Completeness for Reporting
  12. Desc: Percentage of required data fields populated for specific external reporting requests (e.g., CDP, ESG rating agencies).
  13. Target: 98% data completeness for all assigned sections.
  14. Freq: Per reporting cycle (e.g., annually for CDP).
  15. Example: When we're pulling together the CDP questionnaire, all the Scope 1 & 2 emissions data points you're responsible for are fully filled in, no blanks.

Qualitative Metrics

  1. Metric: Adherence to Data Processes
  2. Desc: Following established procedures for data collection, validation, and storage.
  3. Evidence: You consistently use the correct templates, follow the data entry guidelines, and document any deviations. Your manager won't have to remind you how to do things.
  4. Metric: Proactive Issue Flagging
  5. Desc: Identifying and raising potential data quality issues or missing information before it becomes a problem.
  6. Evidence: You'll say, 'Hey, Site X's water usage looks really high this month, much more than usual. Should I check with them?' or 'I can't find the fuel receipts for that vehicle, what should I do?'
  7. Metric: Learning & Development
  8. Desc: Actively seeking to understand sustainability concepts, reporting frameworks, and internal systems.
  9. Evidence: You'll ask thoughtful questions about 'double materiality' or 'Scope 3 Category 1'. You'll show you've read up on the GRI standards after a team meeting, not just nodded along.
  10. Metric: Team Collaboration & Support
  11. Desc: Working effectively with your immediate team and site contacts to get information.
  12. Evidence: Site managers find you easy to work with, and your team feels you're a helpful pair of hands. You'll offer to help colleagues if your own tasks are done.

Primary Traits

Supporting Traits

Primary Motivators

  1. Motivator: Making a Tangible Difference (Even Small Ones)
  2. Daily: You'll feel good knowing that your accurate data entry is directly contributing to our company's environmental goals or helping us avoid a compliance issue. It's about seeing the impact of your diligent work, even if it's behind the scenes.
  3. Motivator: Learning & Skill Building
  4. Daily: You'll be excited by the opportunity to learn about complex sustainability topics, new software, and how a large organisation manages its environmental footprint. Every day is a chance to pick up new knowledge and skills.
  5. Motivator: Structured & Organised Work
  6. Daily: You thrive in an environment where tasks are clear, processes are defined, and there's a logical flow to your day. You enjoy the satisfaction of completing a checklist and knowing everything is in its right place.

Potential Demotivators

Honestly, this role isn't for everyone. If you're someone who needs constant novelty or struggles with repetitive tasks, you might find parts of this job a bit of a grind. There's a lot of data entry, a fair bit of chasing people for information, and sometimes the processes can feel a bit rigid. You won't be making big strategic decisions, and your impact is often indirect. If you need to see your name in lights or lead big projects from day one, you'll probably feel a bit frustrated here.

Common Frustrations

  1. Chasing people for data who are 'too busy' to respond quickly.
  2. Dealing with messy, inconsistent data from different sources.
  3. The sheer volume of administrative tasks, like filing and organising documents.
  4. Feeling like your work is 'behind the scenes' and not always recognised directly.
  5. Learning complex regulations that don't always seem to make immediate sense.

What Role Doesn't Offer

  1. High-level strategic decision-making authority.
  2. Leading a team or managing direct reports.
  3. Constant, varied project work with no routine elements.
  4. Immediate, highly visible impact on company-wide initiatives.
  5. A role where you can ignore the details and focus only on the big picture.

ADHD Positives

  1. The clear, structured tasks can provide a helpful framework, reducing decision fatigue.
  2. The need to chase data and follow up can tap into a natural drive for completion and persistence.
  3. The opportunity to learn a lot about a new, complex field can be highly engaging and stimulating.

ADHD Challenges and Accommodations

  1. Repetitive data entry can sometimes be challenging; we can explore tools to automate parts or break up tasks.
  2. Maintaining focus on long, detailed documents might be tough; we can use visual aids or shorter bursts of work.
  3. We can help with prioritisation by clearly outlining 'must-do' vs. 'nice-to-do' tasks daily.

Dyslexia Positives

  1. Strong spatial reasoning can be great for understanding how different data points connect in a system.
  2. Often excellent at 'big picture' thinking, which helps understand why data collection matters.
  3. Good at verbal communication, which is useful for chasing data and clarifying requirements.

Dyslexia Challenges and Accommodations

  1. Proofreading reports or large data sets for typos might be harder; we can use spell-checkers and offer peer review.
  2. Reading dense regulatory text can be tiring; we encourage using text-to-speech software or summarisation tools.
  3. We can provide templates with clear formatting and use visual cues to help navigate documents.

Autism Positives

  1. The clear, logical processes and structured nature of data management can be a good fit.
  2. A strong focus on detail and accuracy is highly valued in this role.
  3. The ability to concentrate deeply on specific tasks for extended periods can be a real asset.

Autism Challenges and Accommodations

  1. Unexpected changes to processes or urgent requests might be unsettling; we aim for clear communication and advance notice where possible.
  2. Social interactions, especially chasing data from busy people, can be draining; we can provide scripts or communication templates.
  3. We can offer a consistent work environment and clear expectations for meetings and team interactions.

Sensory Considerations

Our office environment is typically open-plan, so there can be some background noise and general activity. We do offer noise-cancelling headphones and quiet zones for focused work. Visually, it's a standard office setup with computer screens. Socially, you'll have regular interactions with your immediate team and other internal departments, but it's generally structured and professional, not overly informal or spontaneous.

Flexibility Notes

We're open to discussing flexible working arrangements where possible, especially around start/end times or hybrid working, to help you do your best work. Just chat to us about what you need.

Key Responsibilities

Experience Levels Responsibilities

  1. Level: Entry Level (0-2 years)
  2. Responsibilities: Collect raw environmental data (like utility bills, waste manifests, fuel logs) from various site contacts, making sure you get all the bits we need.
  3. Accurately enter collected data into our EHS & ESG data platforms (e.g., Enablon, Cority), following the established input templates and guidelines.
  4. Perform initial data quality checks, spotting obvious errors or inconsistencies (e.g., a site reporting zero water usage for a month, which probably isn't right).
  5. Maintain and organise digital and physical records of compliance documents, permits, and sustainability reports, so we can find them easily when we need to.
  6. Help prepare basic reports by pulling data from existing dashboards and populating pre-designed templates for internal reviews.
  7. Schedule and coordinate meetings for the sustainability team, making sure everyone has the right invites and documents.
  8. Assist with basic research on emerging sustainability regulations or best practices, helping the team stay a step ahead.
  9. Supervision: You'll have daily check-ins with your direct manager, especially during your first few months. All your data entry and initial reports will be reviewed before they go anywhere important. Think of it as having a safety net while you learn the ropes.
  10. Decision: Honestly, you won't be making any independent decisions in this role. If you're unsure about something, or you spot a problem, you'll escalate it to your manager or a senior team member. We want you to ask questions, not guess.
  11. Success: You're doing great if your data is consistently accurate, you meet your deadlines, and you're actively learning about our systems and the world of sustainability. Asking good questions and showing initiative to understand 'why' we do things are also big indicators of success.
