Role Purpose & Context
Role Summary
The Associate Standards Coordinator is responsible for supporting the core administrative functions that underpin our ISO management systems. Think of it as being the engine room for our compliance efforts; you'll be making sure all the necessary paperwork, records, and data are exactly where they need to be, when they need to be there. You'll work closely with the Standards & Compliance Specialists, helping them keep on top of everything from document control to tracking corrective actions.
When you do this job well, our external auditors will find everything in order, and our internal teams will always have access to the correct, up-to-date procedures. If things get sloppy here, we risk major non-conformances, which can jeopardise our ISO certifications – and frankly, that's a big deal for the business. The challenge? It's often about meticulous detail and chasing people for information, which isn't always glamorous. The reward, though, is knowing you're building a solid, auditable foundation that keeps the whole company safe and compliant.
Reporting Structure
- Reports to: Standards & Compliance Specialist (L2)
- Direct reports:
- Matrix relationships:
Junior Compliance Assistant, Quality Systems Administrator, Document Control Assistant,
Key Stakeholders
Internal:
- Standards & Compliance Specialist (your direct manager)
- Internal Audit Team
- Departmental Process Owners (e.g., Production, HR, Sales)
- Training Coordinators
External:
- Certification Body (CB) auditors (indirectly, through audit preparation)
- Suppliers (for document requests)
Organisational Impact
Scope: This role directly supports the integrity and efficiency of our ISO 9001, ISO 14001, and ISO 45001 management systems. Your accurate work means fewer audit findings, smoother operations, and ultimately, helps us maintain the certifications that our clients often demand. Get it wrong, and we could face delays, fines, or even lose valuable contracts. So, yes, it's important.
Performance Metrics
Quantitative Metrics
- Metric: Document Control Accuracy
- Desc: The percentage of documents processed (uploaded, versioned, distributed) without errors.
- Target: >98% accuracy
- Freq: Monthly spot checks
- Example: Out of 100 documents you processed this month, only 1 had an incorrect version number or distribution list, hitting 99% accuracy.
- Metric: CAPA Administrative Processing Time
- Desc: The average time it takes to log a new Corrective and Preventive Action (CAPA) or update its status in the system once you receive the information.
- Target: <48 hours (from receipt of info)
- Freq: Weekly review of CAPA log
- Example: A manager sends you a new incident report on Monday morning. You get it logged into the QMS system by Tuesday afternoon, well within the 48-hour target.
- Metric: Assigned Audit Support Task Completion
- Desc: The percentage of specific tasks given to you to support internal or external audits (e.g., compiling records, scheduling interviews) completed by their agreed deadline.
- Target: 100% completion by deadline
- Freq: Per audit cycle
- Example: You were asked to pull 15 training records for an upcoming audit by Friday. All 15 records were correctly identified and provided by Thursday afternoon.
- Metric: Data Entry Precision
- Desc: The number of errors found in data you've entered into our QMS/EHS platform for incidents, actions, or training records.
- Target: <2 errors per 100 entries
- Freq: Monthly review of data logs
- Example: After entering 250 incident reports, only 3 minor typos or incorrect categorisations were found, which is well within our acceptable error rate.
Qualitative Metrics
- Metric: Proactive Learning & Initiative
- Desc: How quickly you pick up new tasks, ask sensible questions, and start to anticipate what's needed next, rather than just waiting for instructions.
- Evidence: You'll be asking 'What's next?' after finishing a task, suggesting minor improvements to a process you've just learned, or taking notes without being prompted. Your manager won't have to repeat instructions often.
- Metric: Adherence to Procedures
- Desc: How consistently you follow established procedures and work instructions for tasks like document control or record keeping.
- Evidence: Your work will consistently meet the requirements of our documented processes. When we review your work, we won't find steps missed or shortcuts taken. You'll be able to explain *why* you did something a certain way, referencing the procedure.
- Metric: Team Collaboration & Support
- Desc: How well you work with your immediate team, offering help when you can and communicating your progress clearly.
- Evidence: You'll be responsive to requests from your manager and colleagues, offering to help with basic tasks if your plate is clear. You'll give clear updates on your progress without being prompted, especially if there's a delay.
Primary Traits
- Trait: Meticulous
- Manifestation: You're the person who notices the one inconsistent date in a 50-page audit report, even if it's just a typo. You'll insist on correcting a procedure's version number from 4.1 to 4.2 before it goes live because, frankly, it matters. You'll cross-reference training records against procedural requirements to make sure everyone's 100% compliant. It's about getting the small things right, every single time.
- Benefit: Honestly, a single incorrect clause reference or a missed signature can lead to a major non-conformance during an external audit. That could jeopardise our multi-million pound contracts that absolutely rely on our ISO certification. At this level, your meticulousness builds trust and prevents those little errors from becoming big problems further down the line.
- Trait: Diplomatically Tenacious
- Manifestation: This means you'll politely but firmly follow up with a busy department head three or four times to get that critical CAPA response. You'll be able to calmly hold your ground when someone asks you to 'just quickly approve' a document without following the full review process. It's about being persistent without being annoying, understanding that people are busy, but the system needs to be followed.
- Benefit: Truth is, this role has loads of responsibility but often zero direct authority. You can't force people to do things. Your success depends entirely on your ability to influence, persuade, and gently enforce the system's rules without alienating the entire organisation. If you're too soft, things won't get done. If you're too aggressive, no one will want to work with you.
- Trait: Systematic Thinker
- Manifestation: When a change is proposed to one form, you'll start to see how it might impact other procedures or work instructions. You'll be able to follow a process from start to finish in your head, understanding the sequence of steps. You might not be designing the whole system yet, but you'll be able to understand the logic behind it and spot when something doesn't quite fit.
- Benefit: You're working within a *management system*. It's not just a collection of random documents. You need to grasp how all the individual processes connect and interact to ensure the system is coherent and actually effective. If you can't see those connections, you'll struggle to understand why certain steps are necessary or how a small change here might break something over there.
Supporting Traits
- Trait: Inquisitive
- Desc: You'll naturally ask 'why' and 'how do you know?' when looking at a process or a record. This is the absolute foundation of all auditing and compliance work; it helps you understand the true intent and evidence.
- Trait: Patient
- Desc: You'll understand that changing ingrained behaviours and processes across a big company is a marathon, not a sprint. You won't get frustrated if something takes a bit longer than expected, as long as there's progress.
- Trait: Pragmatic
- Desc: You'll start to learn when to hold the line on a critical requirement and when a slightly less burdensome interpretation can still achieve the same compliant outcome without alienating the team you're working with. It's about finding the balance.
Primary Motivators
- Motivator: Order & Structure
- Daily: You'll get a real kick out of seeing a perfectly organised document library, a CAPA log with no overdue actions, or a process flow that makes complete sense. Messy data or disorganised files will genuinely bother you.
- Motivator: Making a Tangible Impact
- Daily: Even at this level, you'll see how your accurate work directly contributes to passing audits, improving safety, or ensuring product quality. You're not just pushing paper; you're helping the business stay on track and compliant.
- Motivator: Continuous Learning & Development
- Daily: You're keen to understand the 'why' behind the 'what'. You'll want to learn about the different ISO standards, how our business processes work, and how to use our compliance software more effectively. You'll be asking questions and taking notes.
Potential Demotivators
Honestly, this role isn't for everyone. If you're someone who thrives on constant change, hates routine, or struggles with detailed administrative tasks, you'll probably find it tough going. You'll spend a fair bit of time chasing people for overdue Corrective Action responses, which can feel a bit like nagging. Sometimes, you'll feel like the 'paperwork police', constantly fighting the perception that your job is just to create bureaucracy. Expect to see management treat the system as the company's number one priority only in the two weeks leading up to an external audit, after ignoring it for 11 months. If you need to see every piece of work make it to production or get immediate, flashy results, you'll struggle here. A lot of your work is about prevention and maintaining the status quo, which isn't always glamorous.
Common Frustrations
- The 'CAPA Chase': Spending too much time politely reminding department heads about overdue actions.
- The 'Paperwork Police' Stigma: Feeling like you're constantly fighting the idea that your job is just to slow things down.
- Pre-Audit Panic: The sudden, intense focus on compliance just before the external auditors arrive.
- Inheriting a 'System': Discovering that the 'ISO system' you've been asked to support is actually a chaotic mess of old documents on a shared drive.
What Role Doesn't Offer
- High-level strategic decision-making (not yet, anyway).
- Constant novelty and creative freedom in your daily tasks.
- A role where you directly manage a team (you'll be supporting, not leading).
- A 'firefighting' role with daily, urgent crises (most of your work is preventative).
ADHD Positives
- The structured nature of compliance tasks can provide a clear framework, reducing ambiguity and supporting focus on specific, well-defined objectives.
- Opportunities to move between different types of administrative tasks (document control, data entry, scheduling) can offer variety and prevent boredom, especially if tasks are broken down into smaller chunks.
- The need for meticulousness can be a strength if hyperfocus is directed towards detail-oriented work, ensuring high accuracy in critical documentation.
ADHD Challenges and Accommodations
- Repetitive data entry or document formatting tasks might become challenging over long periods. We can support this with regular short breaks or by varying task types throughout the day.
- Keeping track of multiple follow-ups for CAPAs can be tricky. We use robust digital systems (QMS platform) with automated reminders, and your manager will help you prioritise and organise these.
- Staying organised with physical documents or digital files can be a hurdle. We have clear filing structures and digital tools; we're happy to help you set up personal organisation systems that work for you.
Dyslexia Positives
- The systematic nature of compliance, with its focus on process and structure, can be very intuitive. You'll be working with established frameworks rather than generating free-form content.
- Strong verbal communication skills, often associated with dyslexia, will be valuable when explaining procedures or tracking down information from colleagues.
- Excellent problem-solving abilities, which often develop to navigate challenges, can be applied to identifying discrepancies in documents or processes.
Dyslexia Challenges and Accommodations
- Proofreading documents for minor errors (typos, grammar) can be more demanding. We encourage the use of grammar and spell-checking software (like Grammarly) and peer review for critical documents.
- Reading lengthy procedures or audit reports might take longer. We'll provide access to text-to-speech tools and ensure documents are formatted clearly with headings and bullet points.
- Accurate data entry is crucial. We can offer tools with predictive text, larger font sizes, and dual monitors to minimise errors and reduce visual strain.
Autism Positives
- The clear, logical structure of ISO standards and compliance processes can be very appealing and easy to grasp.
- Tasks often involve precise, repeatable actions and adherence to defined procedures, which can be a comfort and a strength.
- A strong focus on detail and accuracy, which is paramount in this role, aligns well with common autistic strengths.
- The role involves working with systems and data, often providing a clear, objective framework for interaction.
Autism Challenges and Accommodations
- Unanticipated changes to procedures or urgent, unplanned requests can be unsettling. We try to minimise these, and your manager will provide as much notice and context as possible when they do occur.
- Social interactions, especially chasing colleagues for information, can be draining. We can support you with email templates and scripts, and your manager can step in for more challenging interactions.
- Sensory sensitivities in the office environment. We offer noise-cancelling headphones and flexibility with desk placement to minimise distractions.
- Understanding unspoken social cues can be hard. We value direct, clear communication and encourage you to ask for clarification if anything is unclear.
Sensory Considerations
Our office environment is typically a modern, open-plan space, which can sometimes be a bit noisy with conversations and phone calls. However, we're flexible. We offer noise-cancelling headphones, quiet zones for focused work, and options for hybrid working (a few days in the office, a few at home) to help manage sensory input. Visuals are generally standard office lighting, but we can adjust monitor brightness and offer anti-glare screens if needed. Socially, it's a supportive team, and we value clear, direct communication.
Flexibility Notes
We believe in finding ways for everyone to do their best work. If you have specific needs or preferences, please talk to us. We're open to discussing flexible working hours, hybrid arrangements, and any adjustments to your workspace or tools that could help you thrive.
Key Responsibilities
Experience Levels Responsibilities
- Level: Entry Level (0-2 years)
- Responsibilities: Under the guidance of a Standards & Compliance Specialist, you'll accurately log new Corrective and Preventive Actions (CAPAs) into our QMS platform, making sure all the initial details are correct and complete. (Get this wrong, and the whole investigation starts on the wrong foot.)
- You'll assist in managing our controlled document system (usually SharePoint Online), which means uploading new versions of procedures, routing them for approval, and ensuring only the latest versions are accessible to the right people. (No one wants to work from an outdated procedure, trust me.)
- Support the internal audit programme by compiling objective evidence (records, forms, training logs) for auditors, helping to schedule interviews, and tracking the status of minor audit findings. (This is where your meticulousness really shines.)
- You'll help maintain various compliance records, like training matrices, equipment calibration schedules, and supplier approval lists, making sure they're up-to-date and easily retrievable for audits. (Yes, it's boring sometimes, but crucial.)
- Assist with data entry and basic reporting from our QMS/EHS platform, pulling standard reports on incident rates or CAPA closure times for your manager. (This helps us see if we're actually improving.)
- Learn and apply the basic principles of ISO 9001, 14001, and 45001 standards, understanding what each clause generally means and how it applies to our day-to-day operations. (You won't be an expert overnight, but you'll start building that foundational knowledge.)
- Document minor process steps or work instructions, following existing templates and guidance, to ensure consistency and clarity for other team members. (Future-you will be grateful for good documentation.)
- Supervision: You'll have daily check-ins with your direct manager, the Standards & Compliance Specialist, especially during your first few months. All your work, particularly anything client-facing or impacting critical systems, will be reviewed before delivery. Think of it as paired work initially, moving towards more independent execution as you gain confidence.
- Decision: Honestly, at this level, you'll have no independent decision-making authority on critical compliance matters. All significant actions, process changes, or communications with external parties will need to be approved by your manager. If you're ever unsure, the rule is simple: escalate it. It's better to ask than to guess and get it wrong.
- Success: Success looks like consistently accurate work, meeting deadlines for assigned tasks, and showing a genuine eagerness to learn and understand the 'why' behind what you're doing. You'll be asking good questions and starting to anticipate what's needed next. Basically, being a reliable, proactive support for the team.
Decision-Making Authority
- Type: Document Release/Change
- Entry: Prepares documents for review, routes for approval, publishes approved versions. No authority to approve or reject changes.
- Mid: Proposes minor document changes, drafts new procedures based on input, reviews for compliance, can approve minor changes within defined scope.
- Senior: Designs document control workflows, approves major document changes, defines document retention policies, acts as final approver for critical documents.
- Type: CAPA Closure
- Entry: Updates CAPA status in the system based on evidence provided by action owner. No authority to verify effectiveness or close CAPA.
- Mid: Assesses objective evidence for CAPA closure, recommends closure to manager, can close minor CAPAs with manager oversight.
- Senior: Verifies effectiveness of corrective actions, approves CAPA closures, makes recommendations for systemic improvements based on CAPA trends.
- Type: Audit Finding Severity
- Entry: Records audit findings as identified by the lead auditor. No authority to classify as Major/Minor or challenge findings.
- Mid: Participates in discussions to classify findings, provides input on evidence, drafts initial audit reports.
- Senior: Determines classification of internal audit findings (Major/Minor), negotiates with auditees, finalises internal audit reports.

Career Pathway Context
We're not expecting you to walk in as an expert. What we really need are people with the right mindset—someone who is naturally organised, meticulous, and eager to learn the ropes. If you've been a meticulous administrator, a detail-oriented project assistant, or even someone who's managed complex personal projects with great precision, those experiences absolutely count. We'll teach you the specific compliance stuff, but the core behaviours are what we look for.
Qualifications & Credentials
Emerging Foundation Skills
- Skill: AI-Assisted Document Review & Summarisation
- Why: Critical within 6 months—this is already happening. Compliance documents can be incredibly dense. AI can quickly summarise key points, identify relevant clauses, or even flag inconsistencies across multiple documents much faster than a human. Analysts who figure this out will outproduce peers 3:1.
- Concepts: [{'concept_name': 'Natural Language Processing (NLP)', 'description': 'Understanding how AI processes and interprets human language in documents.'}, {'concept_name': 'Summarisation Models', 'description': 'Learning how to use AI to condense long texts into concise summaries, focusing on compliance-critical information.'}, {'concept_name': 'Information Extraction', 'description': 'Using AI to pull specific data points (e.g., dates, names, clause numbers) from unstructured text.'}, {'concept_name': 'Prompt Engineering Basics', 'description': 'Learning how to ask AI the right questions to get useful compliance-related outputs.'}]
- Prepare: This week: Start using tools like ChatGPT or Claude to summarise articles or internal documents you're already reading.
- This month: Experiment with asking AI to extract specific data points from a sample procedure or incident report.
- Month 2: Try using AI to compare two versions of a document and highlight the differences for you.
- Month 3: Share your findings with your manager and suggest one area where AI could save the team time on document review.
- QuickWin: Start using AI to draft email summaries or quick explanations of complex terms you encounter in standards—no approval needed, immediate benefit to your understanding and communication.
Advancing Technical Skills
- Skill: Advanced QMS/EHS Platform Usage
- Why: Important within 12 months. As you become more familiar with our QMS platform, you'll need to go beyond basic data entry. Understanding how workflows are built and how to generate more customised reports will be crucial for your progression.
- Concepts: [{'concept_name': 'Workflow Logic', 'description': "Understanding the 'if this, then that' logic behind automated processes in the QMS."}, {'concept_name': 'Custom Report Building', 'description': "Learning how to design and generate reports that aren't standard, pulling specific data fields."}, {'concept_name': 'User Permissions & Roles', 'description': 'Grasping how different users have different access levels and what that means for data integrity.'}, {'concept_name': 'Data Export & Import', 'description': 'Becoming proficient in getting data in and out of the system efficiently and accurately.'}]
- Prepare: This week: Ask your manager to show you how a basic workflow is configured in the QMS.
- This month: Take ownership of one recurring report, learning how to generate it from scratch.
- Month 2: Explore the custom report builder in the QMS and try to replicate a standard report.
- Month 3: Document a small improvement you've identified in a QMS process and propose it to your manager.
- QuickWin: Volunteer to take on a task that involves pulling a slightly more complex report from the QMS, even if it means a bit of extra learning. Your manager will appreciate the initiative.
Future Skills Closing Note
The key here is curiosity. Don't just do the task; try to understand the system behind it. Ask 'how does this work?' or 'what if I tried this?' That's how you'll grow your technical skills and become an invaluable asset to the team. We'll support you with training and resources, but your drive to learn is what really matters.
Education Requirements
- Level: Minimum
- Req: A-Levels (or equivalent vocational qualification, e.g., BTEC Level 3/4) in a relevant subject like Business Administration, Science, or Engineering.
- Alts: We're pragmatic. If you've got 2+ years of solid administrative experience in a highly regulated environment, or a role that demanded exceptional attention to detail, we'd absolutely consider that as equivalent. It's about demonstrating the right skills, not just the piece of paper.
- Level: Preferred
- Req: A degree (Bachelor's) in a relevant field such as Business Management, Quality Management, Environmental Science, or Health & Safety.
- Alts: While a degree is great, practical experience often trumps it in our world. If you've been working in a role that exposed you to ISO standards or compliance for a few years, that's a strong contender.
Experience Requirements
You'll need 0-2 years of experience in an administrative, data entry, or support role where precision and following procedures were critical. This could be anything from managing complex client files, meticulously tracking inventory, or supporting a project team with documentation. We're looking for evidence that you can handle detailed work accurately and reliably. Any exposure to quality systems, health & safety, or environmental management in a previous role would be a bonus, but it's not essential.
Preferred Certifications
- Cert: ISO 9001:2015 Awareness/Internal Auditor (Foundation)
- Prod: Various (e.g., BSI, LRQA, PECB)
- Usage: This shows you understand the basics of quality management and what an internal audit involves, which is directly relevant to your support tasks.
- Cert: Health & Safety Qualification (e.g., NEBOSH National General Certificate)
- Prod: NEBOSH
- Usage: Demonstrates a foundational understanding of health and safety principles, which is a key part of our integrated management system.
Recommended Activities
- Attending introductory webinars or online courses on ISO standards (9001, 14001, 45001) to build foundational knowledge.
- Reading industry blogs and publications related to quality, compliance, and health & safety to stay aware of current trends.
- Shadowing experienced colleagues during internal audits or CAPA investigations to see how theory applies in practice.
- Taking advantage of any internal training on our QMS/EHS platforms to deepen your system knowledge.

Output: Competency matrix, evidence portfolio (downloadable), qualification readiness, career progression score.
